About the Role
Our client, a reputable law firm, is seeking a detail-oriented Bookkeeper to manage day-to-day accounting and ensure impeccable trust accounting (IOLTA) compliance. The ideal candidate understands matter-based billing, retainers, and 3-way reconciliations, and can partner closely with attorneys and admin staff.
Key Responsibilities
- Maintain the general ledger; process A/P and A/R, retainers, and client refunds.
- Prepare and send client invoices; post payments and apply to matters accurately.
- Perform monthly 3-way trust reconciliations (bank, client ledger, trust ledger) and ensure IOLTA compliance.
- Track client costs/advanced expenses, reimbursements, and write-offs.
- Reconcile bank/credit card statements; research and clear variances promptly.
- Prepare journal entries (accruals/deferrals/reclasses) and maintain prepaid/fixed asset schedules.
- Support month-end close, partner distributions, and financial reporting.
- Prepare 1099s and provide documentation for audits and compliance reviews.
- Recommend process improvements to enhance accuracy and efficiency.
Qualifications
- Associate's or Bachelor's in Accounting/Finance (or equivalent experience).
- 2-4+ years bookkeeping/accounting; law firm trust accounting strongly preferred.
- Proficiency with QuickBooks and legal billing platforms (Clio, Tabs3, PracticePanther, Timeslips, Litify, or similar).
- Strong Excel skills (lookups, pivots) and exceptional attention to detail.
- High integrity, confidentiality, and clear communication with attorneys and staff.
Nice to Have
- Experience with IOLTA rules in multi-state environments.
- Familiarity with eBilling portals and LEDES formats.
- Exposure to cash- vs. accrual-basis reporting and partner comp models.
