Day-to-Day Duties and Responsibilities
- Bookkeeping: Handles daily company transactions, prepares customer invoices, receives payments, addresses customer inquiries, manages accounts receivable, prepares and reconciles bank statements, credit card statements, and other documentation.
- A/R and A/P: Manages accounts payable, processes bills, makes payments, addresses vendor inquiries, assists with month-end processes, and tracks and maintains inventory records.
- Accountant Support: Works with the accountant to complete forms and ensure compliance with tax and licensing requirements, handles new client and vendor setup, and assists with budget preparation and reporting.
- Office Administration: Provides front desk coverage, manages the phone system, handles incoming and outgoing mail and shipments, greets guests, coordinates meetings, schedules appointments, makes travel arrangements, handles correspondence, ensures smooth day-to-day office functioning, maintains office supplies, coordinates maintenance and repairs, and oversees general administrative tasks.
- Communication Facilitation: Facilitates effective communication within the organization.
Qualifications
- A self-starter with excellent communication and writing skills.
- Meticulous attention to detail and accuracy.
- Comfortable with technology and able to adapt to new software.
- Bookkeeping certification or license.
- Bachelor’s degree (Preferred) with 2+ years of relevant work experience.
- Must enjoy working in a fast-paced team environment.
- Good research and problem-solving skills.
- Ability to multi-task and take initiative.
- Has a customer service mindset, recognizing support needs of internal and external customers, and being detail-oriented.
- Proficient in QuickBooks Online and Microsoft Office applications: Excel, Word, PowerPoint, etc.
