Bookkeeper (Legal/Accounting Focus) Position Overview We are seeking a detail-oriented Bookkeeper with strong experience in QuickBooks and GAAP to manage day-to-day financial operations in a legal services environment. The Bookkeeper will maintain accurate client and firm financial records, ensure compliance with legal trust accounting requirements (IOLTA), support month-end close and financial reporting, and handle billing, collections, payroll and tax filings. This role requires discretion, strong organizational skills, and the ability to work with legal billing systems and accounting software. The position will b part time Key ResponsibilitiesMaintain and reconcile general ledgers, client ledgers and bank accounts; perform regular bank reconciliations and resolve discrepancies.Process accounts payable and accounts receivable, prepare and post invoices, and manage billing and collections to optimize cash flow.Manage trust (IOLTA) accounting in accordance with legal and regulatory requirements, including handling client funds and reconciliations.Perform month-end and year-end close activities and prepare accurate financial reports for firm leadership.Prepare and process payroll using ADP or Paychex, including payroll tax filings and related reporting.Prepare and file sales/use tax returns and coordinate with external tax preparers as needed.Support budgeting, cash flow forecasting and expense reporting to help manage firm finances.Maintain document management systems, ensure confidentiality and compliance with legal and regulatory requirements.Administer legal billing software and tools (e.g., Clio, Timeslips, PCLaw, Amicus) and payment processors (e.g., LawPay).Use QuickBooks (Desktop and Online) or Xero for day-to-day bookkeeping, general ledger management and transaction entry.Produce routine and ad-hoc financial analyses and reports; present findings to management when required.Collaborate with attorneys, administrators and outside vendors to ensure accurate client billing, ledgers and timely resolution of accounting issues.QualificationsRequired: Proven bookkeeping experience (typically 3+ years) with strong proficiency in QuickBooks (Desktop and/or Online) and foundational knowledge of GAAP.Required: Experience working in or with legal practices or legal accounting, including familiarity with legal billing and client ledger practices.Required: Demonstrated experience with trust (IOLTA) accounting and maintaining client funds in compliance with regulations.Required: Solid skills in accounts payable, accounts receivable, bank reconciliations, general ledger maintenance and month-end close processes.Required: Strong knowledge of payroll processing (ADP/Paychex), payroll tax filings, and sales/use tax filings.Education: Associate degree in Accounting, Finance or related field required; Bachelor's degree preferred or equivalent professional experience.Technical: Advanced Excel skills and proficiency with Microsoft Office; experience with document management and maintaining confidentiality/compliance.Nice to have: Experience with Xero, Clio, QuickBooks Online, Timeslips, PCLaw, Amicus, LawPay and other legal billing systems.Nice to have: Experience with billing and collections tools, client ledgers, financial reporting software, budgeting and cash flow management.Personal: Exceptional attention to detail, strong organizational and communication skills, ability to prioritize and meet deadlines, and a high level of integrity and discretion when handling confidential information.
