Responsibilities
- Manage and coordinate complex schedules and calendars for Arthroplasty faculty, ensuring optimal time utilization and minimizing conflicts.
- Oversee and maintain licensure and certification renewals, ensuring compliance and avoiding any disruptions to clinical practice.
- Update and maintain faculty curriculum vitae, ensuring accuracy and completeness, and assist with grant applications and academic publications.
- Arrange travel logistics, including domestic and international travel, conference registrations, and necessary documentation, ensuring a seamless travel experience.
- Handle correspondence, email management, and meeting coordination, drafting official letters and memos as required.
- Answer and direct telephone inquiries, providing accurate information and referrals to patients, colleagues, and external stakeholders.
- Maintain financial records, subscriptions, and memberships, ensuring timely reimbursements and purchases, and assist with budget management.
- Aid with faculty onboarding, candidate interviews, and event coordination, ensuring a smooth and welcoming experience for new hires and visitors.
- Research, format, and copyedit manuscripts for submission to technical journals, supporting the faculty's academic pursuits.
- Manage medical-legal cases, including scheduling meetings, tracking payments, and ensuring timely collection, in collaboration with legal and administrative teams.
Qualifications
- High school graduation and four years of related administrative/executive experience, or an equivalent combination of education and experience.
- Bachelor's degree in a related field is preferred, demonstrating a strong academic foundation.
- Excellent interpersonal and communication skills, both oral and written, with a proven ability to interact effectively with a diverse range of individuals.
- Demonstrated experience with copy-editing and proofreading, ensuring high-quality written materials.
- Ability to multi-task and prioritize, handling a variety of tasks with a high degree of accuracy and meeting tight deadlines.
- Strong knowledge of MS Office Suite, including Word, Excel, PowerPoint, Outlook, and Adobe Acrobat, as well as WordPress for HTML.
- Experience working in an academic environment, preferably in a healthcare or medical research setting, is preferred.
- Proven record of reliability, excellent attendance, and a high level of confidentiality and discretion.
- Knowledge of UC Accounting practices, purchasing, and reimbursement procedures is an asset.
- Basic knowledge of scientific and medical terminology, and a willingness to learn and adapt to new terminology.
