Birmingham Facilities Coordinator
About the Role
The Birmingham Facilities Coordinator will provide a full range of administrative and/or program support to a business unit or program. This role involves performing various administrative tasks, including:
- Sorting and distributing mail
- Answering phones
- Organizing and maintaining files
- Purchasing and maintaining equipment
- Working with vendors
- Scheduling and coordinating logistics of meetings, including setup, breakdown, and assistance during meetings
- Assisting with the coordination of special events
The Coordinator may communicate on behalf of the supervisor with internal and external sources, including staff, partners, government officials, and donors. Responsibilities also include handling inquiries about program activities, assisting in the development of program materials and correspondence, maintaining and tracking data, producing reports, and providing staff with necessary information for decision-making and problem-solving. The role may also involve accounts payable and invoicing responsibilities.
Responsibilities & Scope
- Does not supervise any staff
- Prioritizes tasks in the absence of specific instructions and makes day-to-day decisions within the scope of work assignments
- Maintains limited financial responsibility, which may include processing invoices, preparing accounting forms, purchasing, or creating travel expense reports
- May serve as a team member for assigned projects
- Works overtime, evenings, and weekends as needed
- Work environment involves infrequent exposure to disagreeable elements and minor physical exertion and/or strain
This is a part-time position with a 20-hour work week. The role may require working overtime and evenings and/or weekends for events and meetings hosted in the Birmingham Office.
Requirements
- Associate's Degree plus 1 year of experience or equivalent combination
- Experience managing diverse activities to meet deadlines
- Experience providing administrative support, including some or all of the following: phones/customer service, mail distribution, equipment maintenance, coordinating travel arrangements and meetings, or organizing files
- Experience working and communicating with a wide range of people
- Experience writing, editing, and proofreading written materials
- Valid driver's license and compliance with TNC’s Auto Safety Program

- Ability to analyze available information for preparing reports and solving problems

Pay
The starting pay range for this position is $23.00 – $25.00 per hour for candidates whose country of employment is the USA. The actual pay will be based on factors such as location, qualifications, specific skills, and experience.
