Description
The Sample Inventory and Logistics Associate is responsible for managing all packages entering and exiting the B2S Life Sciences workplace, including packaging and labeling outgoing packages and unpacking and verifying incoming packages.
- Reliably be onsite during B2S standard business hours, shipping and receiving hours are 0830 to 1630, and communicate well with the team about unavailability during the day.
- Enter material received from internal and external customers into inventory management system for accurate tracking.
- Input and track valuable information in inventory management system to ensure compliance with processes and procedures, such as expiration dates.
- Pull samples from inventory and prepare for internal use or long-term storage.
- Maintain accurate documentation of materials shipped and received.
- Work with each department to reconcile all deliveries ensuring accurate receipt of shipment.
- Unpack, examine, verify against manifest(s), and ensure compliance with B2S SOP for labeling, placing shipment(s) into temporary storage (or appropriate storage location for hazardous goods), and recording all incoming shipments.
- Reject damaged items, record shortages, and correspond with Purchasing Group to rectify damages and shortages.
- Report defective materials or questionable conditions to the Department Supervisor.
- Maintain inventory and adequate supply of shipping materials and order supplies as needed.
- Prepare appropriate packing for outgoing shipments, including programming dataloggers, etc.
- Provide quality control (QC) for shipment activities.
- Perform all computer functions using internal and external software to ship and track incoming and outgoing shipments.
- Collect and organize mailings and shipments.
- Complete final inspections as per the shipping instructions and all relevant SOPs.
- Update and maintain logistics policies and procedures.
- Maintain the work area and equipment in a clean and orderly condition and follow prescribed safety regulations.
- Provide accurate and timely information and communication with each department.
- Maintain a working understanding of export, import, and domestic & foreign customs regulations including IDOT and IATA.
- Maintain equipment used in shipping and receiving including printer, label maker, temperature-controlled cabinets, shipping scale, etc.
Requirements
- High school diploma or general education degree (GED) and one-year related experience and/or training, or equivalent combination of education and experience.
- International Air Transport Association (IATA) and IDOT training is required and may be provided upon hire.

- Education and/or Experience: High school diploma or GED; one-year related experience and/or training; or equivalent combination of education and experience.
- Skills and Abilities: Attention to detail, computer software skills including Microsoft Office Suite, Salesforce, SharePoint, and Paylocity, a working knowledge of shipping carriers including FedEx, UPS, etc., a working knowledge of Harmonized System (HS) Codes for exporting and the documentation needs for each shipment, the ability to ensure accurate and timely information gathering and communication with each department and regulatory body, the ability to maintain confidentiality, the ability to stay up to date with all domestic and international regulations related to shipping company products to include ensuring on-time and accurate submission and filing of required paperwork, a working knowledge of shipping and transportation of hazardous goods storage and handling of hazardous goods, understanding of laboratory safety controls including engineering controls, administrative controls, and PPP as elements, the ability to develop positive working relationships and interact effectively with clients and colleagues, the ability to quickly adapt and embrace new software, the ability to prepare reports, the ability to analyze and evaluate data and make determinations, clearly and concisely present findings in oral, written, or electronic format, the ability to remain calm, perform duties, problem-solve, and make sound and rational decisions, exercise independent judgment within established protocols and guidelines, the ability to work alone with minimum supervision and with others in a team environment, the ability to work rapidly for prolonged periods of time under pressure, manage and prioritize multiple projects simultaneously, the ability to document daily work in an accurate, concise, and timely manner, the ability to interact professionally and constructively with clients, team members, and co-workers, the ability to be sensitive to professional ethics, gender, cultural diversities, and disabilities, the ability to operate cars and hand trucks to convey, move, or hoist materials to proper departments or areas, the ability to apply standard office practices and organization skills to a variety of interrelated processes, tasks, and operations.
- Physical Demands: Ability to stand less than 1/3 of the time, ability to walk less than 1/3 of the time, ability to sit more than 2/3 of the time, ability to talk or hear from 1/3 to 2/3 of the time, ability to lift 20 lbs. less than 1/3 of the time.
- Work Environment: In an office and laboratory environment, travel up to 5% percent of the time, frequent use of a computer, potential exposure to pathogens.
