We are looking for a detail-oriented Billing Specialist to oversee accurate and timely invoicing for our operations in San Jose, California. This role serves as a key checkpoint before invoices reach customers, requiring careful review of service documentation, pricing, and completed work details. The ideal candidate is highly organized, thinks critically, and takes initiative to resolve discrepancies while keeping daily billing activities on schedule.
Responsibilities
- Manage the day-to-day invoicing workflow for completed service work and ensure billing activities are finalized on time.
- Examine work orders, service records, and technician documentation to confirm charges are complete, accurate, and ready for customer delivery.
- Prepare and send customer invoices promptly while maintaining established billing standards and internal procedures.
- Validate rates, quantities, equipment details, and service information to identify and correct inconsistencies before invoices are issued.
- Investigate billing questions or discrepancies and follow through to resolution with a strong sense of ownership.
- Monitor multiple billing priorities at once and maintain accuracy while meeting daily productivity expectations.
- Apply sound judgment to recognize unusual entries or missing information and escalate concerns when needed.
Requirements
- Experience in billing operations, invoice processing, or a related finance or administrative function.
- Strong attention to detail with the ability to detect errors, inconsistencies, and missing information.
- Proven critical thinking and problem-solving skills in a fast-paced work environment.
- Ability to manage competing deadlines and maintain accuracy under daily time constraints.
- Proficiency in billing functions, collections, and handling complex calculations.
- Familiarity with medical billing, medical collections, or provider network billing processes is preferred.
- Self-directed approach with the ability to take initiative and work with minimal supervision.
