The organization operates within the construction industry, addressing challenges in safety, security, and workforce management across construction projects nationwide. It provides integrated technology solutions, including software, hardware, and managed services, to help construction owners, general contractors, subcontractors, and workers reduce risk and improve operational efficiency.

The Billing Specialist is responsible for preparing accurate customer invoices and maintaining billing records to support timely and precise billing processes. This role collaborates across departments to resolve billing inquiries, assist collections, and ensure customer billing requirements are met, contributing directly to the financial operations and project closeouts.

Responsibilities

  • Prepare and process customer invoices accurately and on schedule
  • Review contracts, purchase orders, change orders, and supporting documents for billing accuracy
  • Maintain billing records and documentation
  • Submit invoices through customer billing portals such as Textura, Coupa, Oracle, and others
  • Respond promptly and professionally to customer billing inquiries
  • Support collections by providing documentation and resolving disputes
  • Ensure all billing is complete for project closeouts
  • Identify opportunities to improve billing accuracy and efficiency
  • Assist in developing and documenting billing procedures and best practices
  • Support month-end billing close and reporting activities
  • Collaborate with Accounting, Operations, Sales, and Customer Success teams to meet billing expectations
  • Perform other accounting and administrative duties as assigned

Requirements

  • Associate or bachelor’s degree in Accounting, Finance, Business, or related field, or equivalent experience
  • Minimum 2 years of billing, accounts receivable, or accounting experience
  • Strong organizational and diligence skills
  • Excellent analytical and problem-solving abilities
  • Proficiency in Microsoft Excel
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities and meet deadlines
  • Preferred: Experience with construction billing, AIA billing, lien waivers, Certificates of Insurance, construction contracts, Oracle NetSuite, and customer billing portals
  • Preferred: Experience collaborating with general contractors and commercial construction customers
  • Preferred: Ability to identify process improvements and support operational excellence

Pay

Base pay ranges from $65,000 to $70,000 annually, depending on market location, jobsite, knowledge, skills, credentials, and experience
