Billing Specialist

About the Role

The Billing Specialist performs a variety of routine and non-routine, simple to moderately complex billing functions to ensure accurate, timely bills to customers in accordance with service contract terms. This role typically entails responsibility for customer accounts. While this position may offer remote flexibility, candidates must be available to travel to the office for onboarding, training, and periodic in-person collaboration. Preference will be given to candidates who can work primarily in person at our Rutland location; however, we are open to remote/hybrid arrangements for highly qualified applicants.

Responsibilities

• Gain thorough understanding of all components that make up the operations of Casella Resource Solutions (CRS), including the different lines of business, customer base, equipment, division structure, and services offered to increase efficiency and value in the billing process.
• Understand correct procedures for billing and processing sales adjustments for assigned accounts within the billing systems; supply information upon request of customers and/or other departments.
• Audit weight tickets for the current month prior to month-end close to ensure accurate billing.
• Maintain on-time monthly invoicing for all CRS assigned accounts.
• Reconcile rebate accounts associated with assigned customers/vendors monthly to make necessary corrections.
• Run billing reporting as needed.
• Assist the Collection department and finance team with special project assignments.
• Maintain monthly reporting requirements for customer-specific reporting.
• Complete monthly customer-level profit and loss spreadsheets after billing conclusion at month-end.
• Participate in training and other learning opportunities to expand knowledge of the company, products, sales, and services.
• Perform any other duties needed to help drive the company’s vision, fulfill its mission, and abide by its core values.

Career Path

• Billing Specialist I: Completes basic billing data entry, non-complex report formatting, creates invoices, resolves billing-related issues, and demonstrates an understanding of Casella Resource Solutions operations.
• Billing Specialist II: Completes accurate, more complex reports; handles complicated rebate transactions; focuses on detailed weight tickets, receiving reports, pricing structures, and transactions; performs accounts payable for assigned customer accounts; prepares customer-level profit and loss spreadsheets monthly.
• Billing Specialist Sr.: Analyzes account billing; understands the relationship between pricing, volume, and vendor changes on accounts; assists account managers and the finance team on items impacting customer-level P&L; handles work-related projects; displays leadership and training skills for billing roles and processes.

Requirements

• High School Diploma or GED.
• 1-2 years of business experience with increasing responsibilities.
• Ability to work as part of a team in a collaborative environment.
• Ability to work with specific monthly timelines.
• Legally eligible to work in the United States.
• Proficiency in Microsoft Suite, especially Excel.
• Ability to work under pressure in a fast-paced environment.
• High attention to detail.
• Excellent verbal, written, analytical, and formal presentation skills.
• Strong relationship management skills.
• Thorough knowledge and understanding of billing transactions and processes.

Preferred Qualifications

• Accounting or Finance-related degree or background.
• Direct experience with billing, data entry, and accounts payable.

Pay

The hiring range for this role is $21.00 to $23.00 per hour. Final compensation will be determined based on experience and skills. Compensation may increase with expanded responsibilities or promotion.
