About the role
The Billing Operations Specialist supports daily billing operations for Managed Services clients. This role involves responding to customer questions, researching billing issues, processing payments, updating account information, and following standard procedures to ensure accurate and timely billing.
Responsibilities
- Respond to customer and client questions by email and phone
- Research customer accounts to help resolve billing or invoice questions
- Process customer invoice payments according to established procedures
- Aid with invoice corrections and account updates
- Communicate status updates and resolutions clearly and professionally
- Follow standard operating procedures for billing workflows
- Use spreadsheets and desktop tools to review and organize billing information
- Document work accurately and escalate complex issues when needed
- Support the Managed Services team with day-to-day administrative and billing tasks
Requirements
- At least 6 months of experience in customer service, administrative support, data entry, office support, billing, payment processing, or a similar role
- Strong attention to detail and accuracy
- Clear written and verbal communication skills
- Comfort using email, spreadsheets, word processing tools, and web-based systems
- Ability to follow step-by-step procedures
- Ability to manage multiple tasks and stay organized
- Patience, professionalism, and empathy when helping customers
- A reliable internet connection and a remote workspace suitable for phone and email-based work
- Availability to work Monday-Friday, 8:00 AM-5:00 PM Eastern Time
Qualifications
- Preferred qualifications include experience with billing, invoices, payments, account records, or financial information, as well as experience in utility billing, municipal billing, HOA/property management, SaaS, subscription billing, or accounts receivable
- Experience using billing, CRM, ticketing, or customer support systems
- A relevant associate degree or post-secondary training
