Our office is a low-ego environment where we seek to have one another’s backs and strive for excellence as a group.Sweeney Merrigan Law seeks a Billing Coordinator to support our practice. As a Billing Coordinator, you will be responsible for managing all aspects of the cases in your client list, in support of your supervising attorney. Billing Coordinators are primarily responsible for navigating client medical bills, such as handling vital phone communications between internal and external stakeholders like hospitals, insurance companies, specialists, and more along with file setup, claim setup, drafting letters of representations and notice letter, communicating with clients, drafting demand packages and other tasks.Billing Coordinators ensure our firm has the most up-to-date and accurate information for our clients and cases as possible at all times.Responsibilities:Calling hospitals, insurance providers, specialists, medical companies, collection agencies and other important case contacts daily to retrieve vital client information and maintain detailed, organized case managementGather and review all bills: confirm outstanding amounts, due dates, payor sources (PIP, health insurance, workers’ comp), and billing detailsActing as a liaison between clients and their medical providers and insurance companies on behalf of our attorneys and paralegals; responding to internal and external inquiries in a timely mannerProvide regular updates to our legal team so settlement funds can be allocated properlyCoordinate PIP and MedPay claims, including application, claim setup, exhaust notices, and check distributionMaintain meticulous records in case management software to track balances and billing progressMonitoring deadlines for payments and coordinating the release of checks, ensuring that all tasks and duties completed are done within the firm’s set guidelines and policiesGradually take on all additional case management responsibilitiesBilling CoordinationCall clients’ providers to give them PIP claim info/Health Insurance info/Workers Comp claim info for billing purposesPersist should the external provider fail to find the desired information pertaining to any specific case assigned to the Bill Coordination Case Manager by continuing to call until the information is obtainedHandling all aspects of PIP- claim setup, letter of representations, PIP application completion, PIP bill coordination, PIP exhaust letters, etc.Handling all aspects of Medpay including requesting Medpay checks and distributing to clientsWhen correspondence is received from auto insurance regarding PIP exhaustion, call clients’ providers to let them know PIP is exhausted and bills must go to health insurance. Fax/email over to providers the PIP exhaust letter, rebilling instructions and HBARequest MedPay checks from auto insurance adjusters as we receive billing records from providersIf client medical bills end up in collections, call collection agency to have documentation sent to us for fileBalance CoordinationCheck balances with providersCall each client provider and get to billing. Confirm with the billing department what the client balance is, for which dates of service, who paid what (PIP, Health Insurance, Workers Comp, etc.).Ensure total accuracy and confirm repeatedly so providers can be paid back from settlement if client has a balance with themKeep track of these balance checks in our filing softwareCase ManagementAll aspects of case management from a case’s start to finishFile setup, claim setup, drafting letters of representations and notice letter, bill coordinationClient communication and treatment check insBalance checks, lien requests, drafting demand packages and settlement communicationQualifications:1-3 years experience as a phone representative, coordinating bills and case management for a contingency law firmFluent, natural proficiency in both spoken and written English.Proven and signed discretion and integrity when handling confidential financial and client data.Exceptional organizational skills. Must have the capacity to handle numerous cases at all times with financial accuracy.Manage a large volume of bills and balances with providers who may not pick up the phone and require repeated attempts to reach.Comfortable being on the phone for much of the workday.Unafraid to be appropriately assertive and persistent with medical billing reps when necessary to ensure we get the information we need.Able to maintain patience, professionalism and poise when communicating with stakeholders.Ideal team player attitude: someone who is humble, hungry, and people-smart.Experience with drafting legal correspondence, case management skills, excellent customer service attitude as well to keep clients happyCompensation and Benefits:We offer competitive pay, full health benefits, and 401k matching after 1 year.
