About the role

We are seeking a dynamic and self-motivated Bilingual Project Coordinator to join our team in Nashville. The ideal candidate will have superior organizational skills, be upbeat and creative, and enjoy connecting with people. This role involves helping ARCO achieve strategic goals in areas such as onboarding and employee engagement, project support and documentation, and contract preparation.

Responsibilities

  • Manage end-to-end new associate onboarding (approximately 30+ full-time hires a year).
  • Manage all logistics for full-time new hires, including jobsite placement, travel logistics, company truck logistics, translation services, and coordination with various team members.
  • Coordinate with Talent Acquisition, Benefits, IT, Safety, Administration, Facilities, Fleet, and Accounting to ensure a seamless onboarding plan.
  • Verify employee hours and send to Payroll Coordinator for processing.
  • Typing/preparing various items such as letters, bid instructions, meeting minutes, weekly updates, memos, proposals, outline specifications, and expense reports.
  • Prepare various documents for signature as directed (Subcontracts, Purchase Orders, Change Orders, AGC Agreements, Professional Service Agreements, and Transmittals).
  • Aid Project Managers in creating Proposals by compiling letters, outlining specifications, and assembling proposal books.
  • Act as the point person for marketing packages, including compiling proposal covers, tabs, company information, and marketing materials for potential clients.

Qualifications

  • 2-5 years of Human Resources or Administrative Experience.
  • Bilingual in Spanish and English, both written and verbal.
  • Bachelor's or Associate degree preferred, but experience will be considered in lieu of a degree.
  • Strong communication and people skills.
  • Strong attention to detail.
  • Proficiency in Outlook, Microsoft Word, PowerPoint, and Excel.
  • Ability to work on multiple tasks while meeting established goals and deadlines.
