About the Role

This position assists management in overseeing departmental operations, including mentoring employees as a quality improvement coordinator. Responsibilities encompass ensuring accurate completion of registration, monitoring and correcting reports, maintaining data integrity, handling escalated issues, scheduling staff, and providing training and education. The role performs general administrative duties in accordance with TJC, CLIA, HIPAA, NCQA, and government standards, as well as company policies and procedures. All patient care is under the direction of a physician and within the scope of practice.

Responsibilities

• Acts as the on-site clinical coordinator, providing guidance and direction to the care team.
• Oversees clinical workflow to ensure optimal quality of care and patient satisfaction.
• Resolves minor patient scheduling, insurance, and satisfaction complaints; escalates as necessary.
• Completes quality reviews and monitors for process improvement opportunities.
• Participates in departmental educational endeavors; may serve as a clinical super user for EMR.
• Maintains knowledge of processes and systems by attending update meetings and training; represents the department in meetings as needed.
• Interacts with all staff levels to ensure resolution of issues.
• Monitors assigned reports for data integrity; researches and corrects accounts as required.
• Protects the financial integrity of the facility by ensuring accuracy across all departmental functions.
• Participates in preparation and presentation of department staff meetings, education, and in-services.
• Communicates effectively and professionally with all Patient Access customers, including physicians, care management, ancillary departments, nursing units, and physicians’ office staff.
• Cross-trains to perform patient access tasks, such as taking messages and assisting providers with return calls to patients and pharmacies.
• Provides direct patient care within the scope of certification/license as required.
• Supports HR processes, including coaching and mentoring staff.
• Participates in disaster response, fire drills, and other emergency situations with clinical competence.
• Complies with and promotes safety and emergency procedures.
• Operates and maintains equipment; performs routine cleaning and preventative maintenance.
• Ensures work areas are clean, safe, and organized.
• Adheres to Memorial Hermann policies, procedures, and standards within budgetary specifications, including time management, supply management, productivity, and quality of service.
• Promotes individual professional growth and development by meeting requirements for mandatory/continuing education and skills competency.
• Supports department-based goals contributing to organizational success; serves as a preceptor, mentor, and resource to less experienced staff.
• Demonstrates commitment to caring for every member of the community by creating compassionate and personalized experiences.

• Performs other duties as assigned.

Requirements

• High school diploma or GED required.
• Graduate of an accredited School of Vocational Nursing Program or graduation from a Medical Assistant program or eligible for certification by either the American Medical Technologist (AMT), American Association of Medical Assistants (AAMA), National Healthcareer Association (NHA), or National Association for Health Professionals (NAHP).
• Registered Medical Assistant (RMA) or Certified Medical Assistant (CMA) or Certified Clinical Medical Assistant (CCMA) or Nationally Registered Certified Medical Assistant (NRCMA) within 12 months of hire, or current State of Texas license/permit to practice vocational nursing (LVN).
• Current American Heart Association BLS/CPR certification or within 30 days of hire.
• Five (5) years of clinical experience required.
• Demonstrates ability to maintain good communications and establish positive working relationships with employees, physicians, patients, families, and the public.
• Working knowledge of ICD-9/10 and CPT coding and insurance procedures.
• Works primarily a pre-determined schedule but may require occasional evenings or weekends depending on patient care needs; ability to float to other clinic practices as needed.
