Benefits Specialist

About the role
The Benefits Specialist will support the administration of the Firm’s U.S. benefits and well-being programs, ensuring a smooth and efficient employee experience through accurate processing, responsive support, and effective coordination with internal stakeholders and external vendors.
Responsibilities
- U.S. Benefits Administration
- Support the day-to-day administration of U.S. health and welfare benefit plans, including medical, dental, vision, life insurance, disability, and related programs.
- Process benefits enrollments, life event changes, and terminations in HR systems, ensuring accuracy and timeliness.
- Review benefits data and assist with payroll inputs, including deductions and retroactive adjustments.
- Partner with Payroll and HR Operations to reconcile benefits and payroll data and resolve discrepancies.
- Respond to employee inquiries regarding benefits coverage, eligibility, and enrollment, providing clear and timely guidance.
- Escalate complex issues to the Manager as appropriate.
- Open Enrollment Support
- Support the execution of annual U.S. Open Enrollment, including system testing, data validation, and coordination with vendors.
- Assist in preparing employee communications and materials.
- Provide front-line support to employees during enrollment, ensuring a smooth and efficient process.
- Assist with post-enrollment audits and reconciliation.
- Well-being Program Support
- Support the administration of the Firm’s worldwide Well-being program, including coordination of well-being initiatives, events, and campaigns.
- Assist with vendor coordination, scheduling, and logistics for well-being programming.
- Track participation, engagement, and program outcomes.
- Support communications and promotion of well-being offerings to employees.
- Provide administrative and operational support to the Manager in evolving and enhancing the program.
- Leaves of Absence & ADA Accommodations
- Serve as backup for the administration of U.S. leaves of absence by assisting with tracking, documentation, and coordination with internal stakeholders and vendors as needed.
- Help maintain accurate records and ensure required documentation is collected and organized.
- Provide backup assistance in responding to employee inquiries related to leave processes and next steps.
- Vendor Coordination & Administration
- Serve as a day-to-day contact for benefits vendors, assisting with issue resolution and information requests.
- Support invoice processing, tracking, and reconciliation.
- Assist with vendor data exchanges and file management.
- Data, Reporting & Process Support
- Maintain accurate benefits data in HR systems and ensure data integrity.
- Support reporting and analysis related to benefits and well-being programs.
- Assist in documenting processes and identifying opportunities for improved efficiency and service delivery.
- Global Benefits Exposure & Development
- Develop cross-functional knowledge of global benefits programs to provide backup support across non-U.S. regions, ensuring continuity of service as needed.
Requirements
- Bachelor’s degree required.
- 3+ years of experience in benefits administration or HR operations.
- Foundational knowledge of U.S. health and welfare benefits; exposure to leave administration a plus.
- Strong attention to detail and ability to manage multiple tasks with accuracy.
- Experience working with HR systems and data; comfort with Excel.
- Strong interpersonal and communication skills, with a customer service mindset.
- Ability to handle sensitive information with discretion and professionalism.
- Eagerness to learn and grow within benefits and well-being program management.
Schedule
This position requires physical presence in Proskauer’s offices on a regular basis (at least 3x per week, or more, if required by firm policy or business needs).
Pay
The anticipated compensation for this position is $80,000 - $100,000. The actual salary offered will be based on factors including qualifications, relevant experience, education, certifications, and location.
