About the Role
We are seeking a highly organized and detail-oriented individual to join our team as an Automotive Office Manager. The ideal candidate will oversee administrative operations within our automotive dealership, ensuring efficient workflow and providing excellent customer service. This role requires strong leadership skills, financial acumen, and the ability to multitask effectively in a dynamic automotive environment.
Responsibilities
Administrative Management
- Oversee day-to-day administrative tasks, including managing schedules, coordinating meetings, and handling correspondence.
- Maintain office systems, such as filing, record-keeping, and document management, ensuring accuracy and efficiency.
- Monitor inventory of office supplies and equipment, replenishing as necessary.
- Develop and implement office policies and procedures to improve operational efficiency.
Financial Management
- Handle accounts payable and receivable, including invoicing, billing, and collections.
- Prepare financial reports and budgets, analyzing data to identify trends and areas for improvement.
- Work closely with the accounting department to ensure accuracy and compliance with financial regulations.
- Manage payroll processes and employee compensation, including timekeeping and benefits administration.
Human Resources
- Assist with recruiting, hiring, and onboarding new employees, conducting interviews and orientation sessions as needed.
- Maintain employee records and ensure compliance with HR policies and procedures.
- Support employee development initiatives, such as training programs and performance evaluations.
- Handle employee relations matters, including conflict resolution and disciplinary actions.
Vendor Management
- Negotiate contracts and agreements with vendors and service providers, seeking cost-effective solutions.
- Maintain relationships with vendors, monitoring performance and resolving issues as needed.
- Review and approve invoices and payments to vendors, ensuring accuracy and timeliness.
Requirements
- Bachelor's degree in Business Administration, Finance, or a related field preferred.
- Proven experience in office management, preferably in the automotive industry.
- Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal abilities, with a customer-focused approach.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Knowledge of accounting principles and financial management practices.
- Familiarity with HR policies and procedures, including employment laws and regulations.
- Attention to detail and a commitment to accuracy and quality.
- Leadership skills, with the ability to motivate and inspire a team.
