Audio & Video Production Coordinator - Podcasts
This is a 12-month contract role, 40 hours per week, hybrid onsite 4 days a week in Austin, TX.
About the Role
The Audio & Video Production Coordinator supports both podcast and video production initiatives, partnering with creative, technical, and business stakeholders to deliver high-quality content from concept through publication. This role combines project management, production coordination, and content operations responsibilities, helping manage multiple podcast episodes, video productions, and social content projects while ensuring adherence to workflows, timelines, approvals, and distribution requirements.
The ideal candidate has experience in audio and video production, thrives in a fast-paced environment, and possesses strong organizational, communication, and problem-solving skills.

Top Skills
- 1-2+ years of audio/video production or related production experience working with clients, creative teams, and technical teams.
- Strong project management and organizational skills with the ability to manage multiple concurrent projects, timelines, approvals, and stakeholders.
- Understanding of podcast production, distribution, and publishing workflows, including familiarity with the podcast ecosystem.
- Experience collaborating cross-functionally and driving projects forward by mitigating risks, resolving blockers, and maintaining clear communication.
- Excellent written and verbal communication skills with strong attention to detail.
Qualifications
- Experience working within an agency, production house, consultancy, marketing firm, or similar production environment.
- Strong understanding of production principles and best practices across audio and video content.
- Demonstrated success delivering small- to large-scale production projects.
- Solutions-oriented mindset with the ability to adapt to changing priorities and tight deadlines.
- General understanding of investing and personal finance.
- Experience with enterprise project management tools such as Workfront, Jira, or Slack preferred.
- Background in financial services or another highly regulated industry preferred.
- Understanding of animation and motion design workflows and best practices preferred.
- Experience with audio production tools and platforms, including Riverside, Adobe Audition, microphones, headphones, portable recorders, and related equipment preferred.
- Knowledge of podcast distribution, analytics, promotion, and emerging industry trends preferred.
Responsibilities
- Support the production and delivery of podcast episodes, direct-to-production videos, and social media video content.
- Manage project workflows within Workfront or similar project management systems, including opening jobs, creating schedules, and coordinating approval, renewal, and expiration processes.
- Maintain accurate project information and reporting to provide visibility into project health, timelines, and resource status.
- Coordinate cross-functional teams and stakeholders to ensure projects stay on track and are delivered on schedule.
- Identify and remove project blockers, mitigate risks, and facilitate collaboration across creative, production, and business teams.
- Maintain production planning documents, content inventories, editorial calendars, and publication schedules.
- Participate in recording sessions and video shoots, providing production support, note-taking, feedback coordination, and logistical assistance.
- Coordinate transcription processes, including obtaining transcripts, reviewing content for accuracy, and ensuring proper formatting, punctuation, and style.
- Publish approved content assets, including copy, imagery, audio, and video, across distribution channels such as podcast hosting platforms, content management systems, streaming services, and video-sharing platforms.
- Assist with podcast research, topic development, and story exploration.
- Create and distribute call sheets for live-action video productions.
- Serve as a production coordinator during on-set video shoots, supporting production logistics and stakeholder communication.
- Contribute to continuous process improvement and operational efficiency across podcast and video production workflows.
