Auction Operations Coordinator
About the Role
BigIron is looking for a detail-oriented and organized team member to join our team in a role that plays an important part in keeping the auction process accurate, compliant, and running smoothly. As an Auction Operations Coordinator, you will work closely with our Sales Team, lenders, buyers, and sellers while reviewing titles, conducting basic lien and ownership research, managing listings, and providing support throughout the auction process. This is a great opportunity for someone early in their career who enjoys research, problem-solving, and working in a fast-paced environment where attention to detail matters. This is a hybrid role out of our Hamilton, Illinois office.
Responsibilities
- Conduct basic lien searches using iLien software.
- Conduct Bankruptcy searches.
- Title and VIN search on states SOS and DMV sites.
- Maintain in-depth knowledge of UCC filings and apply them to auction processes.
- Review, confirm and manage titles pre-auction for the assigned region.
- Proofread auction descriptions for accuracy, quality, grammar, spelling, and category placement.
- Maintain and update status changes for each listing agreement according to legal ownership.
- Review, accept, and publish listings and lots to the public website.
- Provide basic pre- and post-auction support to the Sales Team, lenders, buyers, and sellers.
- Maintain departmental reports and contribute to ongoing reporting improvements.
- Prioritize and manage workload to ensure deadlines and objectives are met effectively.
- Complete all required training and demonstrate expertise by implementing training in day-to-day tasks.
- Use sound judgment and discretion to review, research, and resolve issues, recommending process improvements when appropriate.
- Perform additional duties as assigned by management.
Requirements
- High School Diploma or equivalent work-related experience.
- Entry-level to early-career experience (0-2 years).
- Strong organizational skills and attention to detail.
- Effective communication and customer service skills.
- Proficient in Microsoft Office (Word, Excel, Teams, Outlook), Adobe and other company applications.
- Ability to maintain confidentiality of proprietary information.
- Must possess a valid driver’s license and maintain an insurable driving record.
- Occasional travel required.
