Part-time, school-year position reporting to the Athletic Director.
Goal
The Athletic Operations Coordinator helps ensure the efficient operation of the athletic program while promoting a positive, responsive, and student-centered experience for students, families, coaches, staff, and community partners by providing effective administrative, organizational, and communication support for the middle school athletic program.
Qualifications & Skills
- High school diploma or equivalent required; associate degree, college coursework, or additional administrative training preferred.
- Previous experience in an administrative, school office, athletic, customer service, or related position preferred.
- Ability to follow through on systems and work collaboratively in a fast-paced, changing environment.
- Familiarity with school athletics, student activities, or youth programs preferred.
Responsibilities
Program Operations
- Coordinate operational logistics in support of athletic programs, including transportation, dismissals, scheduling, officials, and event needs.
- Review registration information for completeness and follow up with families regarding missing or incomplete documentation.
- Assist with tracking student eligibility requirements in accordance with district, school, and applicable athletic association policies and procedures.
- Assist with resolving routine concerns and promptly communicate significant issues to the Athletic Director.
Equipment & Facilities
- Manage distribution, collection, and inventory of equipment and uniforms.
- Maintain equipment inventories and assist with purchasing, storage, and distribution of athletic supplies.
- Support the operational readiness of athletic facilities, equipment, and program resources.
Communication & Support
- Serve as a primary point of contact for the athletic department by providing timely, accurate, and professional communication to students, families, staff, coaches, officials, and community members.
- Direct questions or concerns requiring administrative review, policy interpretation, disciplinary action, or program-level decisions to the Athletic Director, Assistant AD, or appropriate school administrator.
- Maintain a professional, welcoming, and student-centered approach when interacting with students, families, staff, and community members.
Additional Responsibilities
- Perform other tasks and assume responsibilities as assigned by the Athletic Director or Principal.
- Maintain professionalism, confidentiality, and a high level of reliability.
- Attend and participate in required meetings, events, and professional development.
