About the role

We are seeking a detail-oriented Accounts Payable Assistant to join our Finance team. This role supports day-to-day accounting operations, including accounts payable processing, credit card reconciliations, purchase order tracking, and month-end reporting activities. The ideal candidate has a solid understanding of accounting principles, strong organizational skills, and the ability to manage multiple priorities while meeting critical deadlines.

Responsibilities

  • Process vendor invoices, verify statements, research discrepancies, and maintain accurate accounts payable records.
  • Manage accounts payable transactions and ensure timely and accurate vendor payments.
  • Track, audit, and reconcile company credit card transactions and allocate expenses to appropriate general ledger accounts.
  • Receive and process purchase orders while maintaining associated receiving and shipping documentation.
  • Assist with month-end close activities and support the preparation of financial reports.
  • Meet established reporting deadlines and maintain accurate accounting records.
  • Support payroll distribution and related accounting workflows.
  • Assist with document management, record retention, and audit preparation.
  • Provide backup support to other office and administrative team members as needed.
  • Collaborate with vendors, contractors, and internal departments to resolve accounting and payment issues.
  • Perform additional duties as assigned.

Requirements

  • Minimum of 2 years of accounting, accounts payable, finance, or related experience preferred.
  • Strong understanding of general accounting principles and accounts payable processes.
  • Proficiency in Microsoft Office applications, particularly Excel, Word, and Access.
  • Experience with ERP systems; JD Edwards (JDE) experience preferred.
  • Strong attention to detail and accuracy in data entry, invoice processing, and financial reconciliations.
  • Excellent organizational, time management, and multitasking skills.
  • Ability to meet deadlines and manage competing priorities in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive financial information.
  • Flexible and adaptable to changing business needs.
  • Ability to perform all essential job functions with or without reasonable accommodation.
