Associate, Supply Chain Operations
Boston, MA (on-site, M-F 9am–5pm ET; up to 10% domestic travel). Candidates must be legally authorized to work in the U.S. without visa sponsorship.
About the role
The Supply Chain Operations Associate is a full-time, non-exempt member of the Supply Chain Operations team within the International Operations department. The Associate executes day-to-day operations related to international and domestic shipment planning, order follow-up, and vendor relationship management to support care provision across PIH sites. This role requires on-site presence in Boston to physically handle shipments, manage inventory, and coordinate with vendors, warehouses, and care-delivery sites.
Responsibilities
- Logistics (40%):
- Physically receive and prepare outgoing shipments from the Boston storage location, including palletization and compliance with all outbound labeling requirements.
- Regularly review inventory in the Boston and Gloucester storage locations and implement industry-standard inventory management practices.
- Create and communicate customs clearance documents to site-based teams; provide shipment-status updates.
- Adhere to all organizational and donor ordering and shipping procedures; maintain the integrity and transparency of department records and files.
- Resolve discrepancies in received quantities with site and logistics colleagues and vendors to ensure inventory accuracy.
- Work closely with assigned consolidation warehouses to ensure timely, priority-based shipment of inventory to final destinations.
- Manage relationships with assigned 3PLs, outsourced warehouse vendors, and freight forwarders; pursue cost-saving opportunities, monitor performance, and implement process improvements.
- Order Follow-Up (30%):
- Follow up on unshipped order lines to ensure timely action by vendors and freight forwarders; update expected ship dates in the logistics management information system (LMIS).
- Coordinate with site point-of-contacts to resolve supplier-related issues on delayed order lines.
- Review team metrics regularly and address areas requiring immediate follow-up.
- Provide coverage for other order and shipping-related tasks as needed.
- Process Optimization (30%):
- Conduct data analysis and prepare reports; contribute to LMIS data-quality improvement initiatives.
- Contribute to budget preparation and grant reporting.
- Identify and implement process improvements to optimize receiving and outbound shipment workflows and maximize inventory accuracy.
- Act as supply chain point person for assigned sites and/or departments; communicate needs, priorities, and supply chain risks to colleagues and managers.
Requirements
- Experience, Education, Licenses or Certifications:
- 3–5 years of relevant work experience or a combination of work experience and education in procurement, sourcing, logistics, international development, healthcare administration, or a similar field.
- Skills:
- Ability to lift up to 50 pounds when receiving inventory, preparing outbound shipments, and palletizing boxes.
- Demonstrated success managing large data sets with high attention to detail.
- Experience using logistics management information systems or proven ability to learn new electronic systems quickly.
- Ability to follow established processes and implement process improvements.
- Intermediate Microsoft Excel skills.
- Demonstrated success responding to a high volume of requests with a customer-service approach; ability to react to changing priorities with urgency.
- Excellent organization and communication skills.
- Willingness to perform repetitive tasks and data entry while understanding their connection to larger team and organizational goals.
- Preferred:
- Experience with international pharmaceutical and/or medical supply logistics.
- Proficiency in French and/or Haitian Creole.
- Advanced Microsoft Excel skills.
- Physical Requirements:
- Physical ability to safely lift up to 50 pounds for warehouse duties such as receiving stock, palletizing boxes, and preparing outbound freight.

Pay
The starting salary range for this position is $70,040–$74,160/year, based on functional and job-related experience. Salaries at PIH are non-negotiable and determined by internal parity guidelines.
