Job Summary
The Associate Property Manager is responsible for managing the day-to-day operations of the assigned portfolio, ensuring compliance with property owners' goals and the Kidder Mathews Asset Services Division's mission. They also provide leadership to meet all property operational requirements.
Essential Functions
- Responds to and resolves tenant concerns; meets with tenants as required to ensure their needs are met and high-quality property management service is achieved.
- Performs weekly and/or monthly physical property inspections; works with contractors/building engineers to follow through on needed repairs or maintenance.
- Interfaces with property vendors and contractors to ensure prompt response to maintenance issues; ensures contracted vendor services are performed on schedule and within budget, ensuring they meet contract specifications.
- Prepares bid specifications based on property needs; requests/reviews/recommends bids for contracted services; generates Master Service Contracts as appropriate.
- Ensures budgeted maintenance and repairs are performed on schedule; partners with Building Engineers or contracted maintenance vendors to schedule repairs and work orders.
- Acts as Property Manager in absence of Property Manager as needed.
Financial and Reporting
- Prepares and/or reviews annual Capitalized Maintenance (CAM) reconciliations; reports findings/recommendations to Manager(s).
- Assists Manager(s) with annual budgeting process, including re-bidding of service contracts.
- Prepares and/or assists Manager(s) with monthly operating statements and drafts monthly owner operating reports and narratives for final review and approval by Manager(s).
- Leads the leasing team to ensure all vacant space is in "market-ready" condition based on individual client requirements.
- Schedules "clean & show" work for vacant space; reviews new leases and prepares lease abstracts; shows space to prospective tenants as directed by leasing team.
Tenant and Owner Relations
- Maintains courteous, professional, and service-oriented rapport with tenants and owners.
- Fosters confident, comfortable relationships with tenants and owners.
- Supervises tenant move-in and move-out processes and conducts move-in and move-out walkthroughs with tenants.
- Conducts new tenant orientations; makes collection calls to delinquent tenants.
Other Functions
- Performs other duties or projects as requested or required.
Qualifications
- Strong computer skills (MS Excel, Word, PowerPoint, Outlook).
- Good communication and organizational skills.
- Demonstrated ability to read, understand, and abstract leases and contracts.
- Demonstrated ability to recognize high-quality maintenance work.
- Professional communication etiquette with good oral and written communication skills.
- Accurate, attentive, detail-oriented, with strong analytical skills.
- Proven ability to function in a team environment and proactively problem-solve.
- Willingness and demonstration of professional development and continual learning.
- Ability to work with minimal supervision and lead by example.
- Willingness to travel locally.
- Must have a working vehicle, valid driver license, and current auto insurance.
- Must be bondable.
Education and Experience
- Bachelor’s Degree or a combination of education and experience; Real Estate License required.
- 3+ years Commercial Property/Facilities Management experience.
Work Environment
This is a standard office environment with standard office noise like talking, office equipment, etc. In addition, this position may visit tenant sites in various settings which can be industrial in nature with loud noises and mild fumes.
Physical Demands
- While performing the duties of this job, the employee is regularly required to talk and hear.
- This position is rarely active but may require standing, walking, bending, kneeling, stooping, and crouching.
- The employee must frequently sit and use a computer for long periods of time.
- Specific vision abilities are required to do this job including close vision.
- The employee must be able to drive for short to moderate distances and/or times.
- The employee may be required to access building roofs and mechanical areas.
- The employee must sometimes lift and/or move items up to 10 pounds.
Supervisory Responsibilities
Has leadership responsibilities and provides direction for Building Engineers, Portfolio Administrators, and Administrative Assistants. No direct report responsibilities.
