This role is highly detail-oriented and execution-focused—ideal for someone early in their project management or marketing operations career who excels at organization, documentation, and keeping teams on track. You will partner closely with Strategy, Creative, Legal/Brand, Ad Ops, and Channel teams to support campaign planning, asset delivery, trafficking preparation, and day-to-day operational updates.

Responsibilities

  • Campaign & Meeting Support
    • Assist with maintaining project documentation and Airtable dashboards that track campaign readiness, creative asset status, launch calendars, and key milestones.
    • Prepare meeting notes, recaps, and action items for recurring cross-functional meetings.
    • Track meeting follow-ups to ensure outstanding items are assigned and completed.
    • Support campaign intake documentation by gathering necessary information from cross-functional partners.
  • Creative Operations Support
    • Source essential visual assets, including key art, for select marketing campaigns.
    • Collect, organize, and maintain creative assets, copy, and revisions from Strategy, Creative, and Channel partners.
    • Maintain organized folder structures, consistent file-naming conventions, and version control to ensure assets are saved in the correct locations.
    • Assist with providing channel teams with information needed for trafficking, including launch timelines, URLs, and variation details for dynamic creative assets.
  • Ticket & Workflow Coordination
    • Create and maintain creative request tickets, ensuring all required information is included and accurate.
    • Create and maintain creative approval tickets (for Brand and Legal review) for select campaigns, ensuring all submissions are complete.
    • Monitor ticket progress and proactively follow up on upcoming ETAs, missing inputs, approvals, and deadlines.
    • Track creative delivery status and maintain accurate project trackers throughout campaign execution.
  • Quality Assurance (Checklist-Based)
    • Conduct checklist-based QA on creative assets and links prior to delivery:
      • Confirm file specifications (dimensions, format, file size) match channel requirements.
      • Cross-check asset versions across channels for consistency.
      • Flag discrepancies and escalate to senior team members for review.
  • Reporting & Documentation
    • Provide weekly status updates that summarize creative deliveries, outstanding approvals, project risks, and operational blockers.
    • Maintain accurate documentation of file paths, tracker updates, and campaign timelines throughout the project lifecycle.
    • Keep shared team drive folders organized and up to date, ensuring files/folders are accessible and easy for partners to navigate.
    • Maintain and refresh templates (e.g., agendas, intake forms, tracker views) to support team workflows.
    • Help collect baseline inputs for post-launch retrospectives (e.g., “what slipped,” “missing copy,” “timing conflicts”).
    • Ensure consistency across documentation, file organization, naming conventions, and operational processes.

Qualifications

  • Basic Qualifications
    • 1+ years of internship or professional work experience in project coordination, marketing operations, creative operations, or related roles.
    • Strong organizational skills with exceptional attention to detail.
