Associate Project Manager

Primary Responsibilities

  • Manage software implementation projects across the full lifecycle, from initiation through completion.
  • Lead project planning, scheduling, documentation, and coordination of project activities.
  • Analyze project data, track performance metrics, and build reports/dashboards to support data-driven decision-making.
  • Draft and distribute weekly internal project status reports consolidating workstream-level updates from functional leads into project status dashboards.
  • Maintain project RAID logs (Risks, Actions, Issues, Decisions).
  • Update the project schedule with accurate % complete based on team-reported progress, and monitor milestones, deliverables, dependencies, and KPIs from both plan and financial perspectives.
  • Maintain the holiday and leave calendar for both Odessa and client teams.
  • Cook up meetings with internal teams and clients and ensure follow-up on key actions.
  • Monitor project progress and escalate potential risks, issues, or delays as appropriate.
  • Maintain project plans, work breakdown structures, and project schedules.
  • Collaborate with business, technical, and client stakeholders to support project objectives.
  • Interact directly with customers in a client-facing capacity, building and maintaining strong, trust-based relationships through professional, responsive communication.
  • Help ensure adherence to PMO standards, methodologies, processes, and best practices.
  • Support user acceptance testing, deployment activities, and project closeout tasks.
  • Develop familiarity with software implementation projects, system integrations, and data migration activities.
  • Take full ownership of assigned workstreams and independently manage small projects.
  • Provide support to senior Project Managers and the wider project team as required.

Experience & Qualifications

  • Bachelor’s degree in Business Administration, Management, Information Systems, Economics, or a related field.
  • 0–2 years of experience through internships, academic projects, or professional roles in project coordination, business operations, technology, or related areas.
  • Interest in learning and applying project management methodologies.
  • Ability to organize work, manage priorities, and support project execution.
  • Basic to intermediate proficiency with Jira and Microsoft Office, particularly Excel, PowerPoint, Project, Teams and Outlook.
  • Strong attention to detail and analytical mindset, with an interest in data analytics, reporting, and drawing insights from project data.
  • Effective communication skills and ability to collaborate with others.
  • Comfortable in a customer-facing role, with strong interpersonal skills and a genuine ability to build and sustain positive client relationships.
  • Eagerness to learn, take initiative, and grow a career in project management.
  • Able to travel up to 25%, as needed.
