About the role
The Associate Director of Business Operations and Support Services provides strategic leadership and administrative oversight for the department's business operations, financial management, and support services. The incumbent directs the administrative infrastructure that enables Facilities Management to effectively support the University's mission.
Responsibilities
- Provides leadership for the Business Operations unit by fostering accountability, collaboration, continuous improvement, and customer service excellence.
- Supervises budget staff, Facilities Coordinators, Work Control personnel, and other business operations staff, including performance management, coaching, employee development, and succession planning.
- PARTNERS WITH DEPARTMENTAL LEADERSHIP TO DEVELOP AND IMPLEMENT POLICIES, PROCEDURES, AND BUSINESS PRACTICES THAT IMPROVE OPERATIONAL EFFECTIVENESS AND ENSURE COMPLIANCE.
- ADVISES LEADERSHIP ON BUDGETS, PERSONNEL, CONTRACTS, AND ADMINISTRATIVE MATTERS WHILE COORDINATING RESOURCES ACROSS FACILITIES MANAGEMENT.
- REPRESENTS FACILITIES MANAGEMENT IN CAMPUS AND CSU SYSTEM INITIATIVES AND SERVES AS LIAISON WITH THE CHANCELLOR'S OFFICE AND EXTERNAL STAKEHOLDERS.
- ENSURES TIMELY AND ACCURATE SUBMISSION OF REQUIRED FISCAL AND ADMINISTRATIVE REPORTS.
Requirements
- Thorough knowledge of accounting, budgeting, financial management, public administration, organizational management, and construction project accounting principles.
- Demonstrated ability to analyze complex financial and operational information, develop strategic recommendations, and communicate effectively with executive leadership and diverse stakeholders.
- Strong skills in financial planning, forecasting, budgeting, fund accounting, financial analysis, project management, reporting, and the use of enterprise financial systems, spreadsheets, and database applications.
- Ability to manage multiple priorities, lead organizational change, supervise professional staff, develop innovative business solutions, build collaborative relationships, and maintain a strong commitment to customer service and continuous improvement.
Qualifications
- Bachelor's degree with a major in accounting, business administration, finance, or a closely related field, or an equivalent combination of education and experience that provides the required knowledge, skills, and abilities.
- Five (5) years of progressively responsible experience leading budget development, fiscal planning, financial analysis, and resource allocation for a Facilities Management organization or a similarly complex operational environment in higher education, government, or the private sector.
- Demonstrated experience overseeing the development, administration, monitoring, and forecasting of large operating and capital budgets, including long-range financial planning, cost analysis, financial modeling, and ensuring compliance with applicable laws, regulations, policies, and funding requirements.
- Significant experience analyzing financial and operational data to support executive decision-making, establish funding priorities, identify efficiencies, and develop recommendations that align fiscal resources with organizational strategic goals.
- Demonstrated success providing leadership and supervision for professional and administrative staff, including hiring, mentoring, performance management, succession planning, employee development, and fostering a collaborative, customer-focused work environment.
- Proven ability to lead multiple complex initiatives simultaneously while balancing competing priorities, managing organizational change, and delivering results in a dynamic, fast-paced environment with diverse stakeholders.
- Exceptional analytical, organizational, and communication skills, with the ability to translate complex financial information into clear recommendations for executive leadership and build effective partnerships across departments.
- Demonstrated leadership in developing innovative financial strategies, improving business processes, implementing operational efficiencies, and promoting continuous improvement while maintaining a strong commitment to customer service and organizational excellence.
