About the role
The Administrative Assistant will provide administrative and clerical support to the assigned area and staff in a professional and courteous manner.
Responsibilities
- Receives and screens phone calls, phone messages, and all mail.
- Arranges meetings and ensures that all materials for meetings are available.
- Orders office supplies.
- Compiles periodic statistical reports.
- Collects and transcribes audit and other data information from a variety of media to generate reports and graphs for presentations.
- Prepares information for distribution while ensuring accuracy.
- Maintains file and up-to-date records, manuals, and other materials while maintaining confidentiality.
- Provides secretarial support for meetings and projects.
- Keeps office and department functioning smoothly.
- Provides extensive support during Regulatory Surveys and Readiness initiatives.
Requirements
- No license required
- High School Diploma or GED required
- Minimum of five years executive secretarial and/or office management experience, preferably in the healthcare field
- Some knowledge of clinical processes and procedures and comfortability functioning on a patient care unit for auditing purposes
- Proficient in Microsoft Suite, with a minimum of keyboarding speed of 50 WPM
- Ability to develop and manage qualified databases with minimal training
- Excellent communication, phone etiquette, organizational and interpersonal skills
- Ability to handle confidential and sensitive information
- Familiar with medical terminology, medication names, and maintains basic knowledge of clinical care processes
