About the role

The Administrative Assistant will provide administrative and clerical support to the assigned area and staff in a professional and courteous manner.

Responsibilities

  • Receives and screens phone calls, phone messages, and all mail.
  • Arranges meetings and ensures that all materials for meetings are available.
  • Orders office supplies.
  • Compiles periodic statistical reports.
  • Collects and transcribes audit and other data information from a variety of media to generate reports and graphs for presentations.
  • Prepares information for distribution while ensuring accuracy.
  • Maintains file and up-to-date records, manuals, and other materials while maintaining confidentiality.
  • Provides secretarial support for meetings and projects.
  • Keeps office and department functioning smoothly.
  • Provides extensive support during Regulatory Surveys and Readiness initiatives.

Requirements

  • No license required
  • High School Diploma or GED required
  • Minimum of five years executive secretarial and/or office management experience, preferably in the healthcare field
  • Some knowledge of clinical processes and procedures and comfortability functioning on a patient care unit for auditing purposes
  • Proficient in Microsoft Suite, with a minimum of keyboarding speed of 50 WPM
  • Ability to develop and manage qualified databases with minimal training
  • Excellent communication, phone etiquette, organizational and interpersonal skills
  • Ability to handle confidential and sensitive information
  • Familiar with medical terminology, medication names, and maintains basic knowledge of clinical care processes

  • Must be able to develop and manage qualified databases with minimal training
  • Must be proficient in Microsoft Suite, with a minimum of keyboarding speed of 50 WPM
  • Must have some knowledge of clinical processes and procedures and comfortability functioning on a patient care unit for auditing purposes
  • Must have a high school diploma or equivalent
  • Must have five years of executive secretarial and/or office management experience, preferably in the healthcare field
  • Must be familiar with medical terminology, medication names, and maintain basic knowledge of clinical care processes
