About the role
The Asst VP, Registrar serves on the VP’s leadership team and promotes collaboration within and between the Office of Admissions and Financial Aid and the Office of the Registrar, assisting the VP with full integration of policies, procedures, and programs of the Offices.
Responsibilities
- Leads and directs staff in producing accurate transcripts;
- Led and directed staff in the organization, maintenance, and preservation of all official academic records and documents of the students and courses of New College of Florida;
- Carry primary responsibility for the College's student evaluation and course management systems;
- Delivers data efficiently to the Office of Institutional Research and Assessment and external constituencies (e.g., U.S. Departments of Education and Veterans Affairs, National Student Clearinghouse, Department of Homeland Security);
- Aids the Offices of Institutional Research and Assessment and Admissions and Financial Aid with meeting government-mandated reporting requirements;
- Leads and directs staff in providing excellent customer service to faculty and students, ensuring efficient and professional handling of their requests with regard to student records and with regard to the student information system;
- Assists students in ultimate progress to graduation (e.g., actively soliciting submission of forms and use of the Course Request System) and conducts exit interviews with withdrawing students to gather data for retention planning;
- Collaborates with the Dean of Studies, with faculty, and with other offices regarding students who fail to file forms on time to encourage completion and gather data for predicting enrollment;
- Interprets policy, ensures that Office of the Asst VP, Registrar procedures and practices support the College's mission and goals;
- Develops, implements, monitors, and supervises the major functions of the Office of the Registrar, which include: maintaining student records (registration; receipt of academic records and information; assignment of transfer credit; design and maintenance of the student evaluation system; accurate recording of assessments; determining the academic standing of students and course of action for students out of status; determination of changes to residency for current and returning students; degree audits; formal issuance of diplomas; commencement planning and participation; and generation of transcripts, course record management (coordination of course records; and creation and implementation of the course schedule/offerings), and reporting and communication (fulfilling state and federal reporting requirements; enrollment and graduation verification; release of student information in accordance with FERPA, Florida statute, and College regulations; production of academic and registration calendars; communication with faculty regarding registration and assessment requirements; communication with other members and units of the College community regarding student record and course record issues; tracking and reporting student information for financial aid reporting, including determination of last date of attendance for students who withdraw; and preparation of ad hoc reports).
Requirements
- Bachelor’s degree from an accredited institution in an appropriate area of specialization or 10 years of demonstrated, progressive experience in enrollment services.
- Master's degree preferred.
- Demonstrated, progressive experience with Registrar's duties.
