Assistant Reservations Manager
About the Role
Towson University (TU) is a top 100 public university and one of the nation's great colleges to work for, located north of Baltimore with over 19,000 students. Event and Conference Services (ECS) supports the planning and scheduling of meetings, events, and conferences at TU. The Assistant Reservations Manager is a highly visible, customer-facing role that also supports the functional and system administration of the university’s online scheduling platform. This position works closely with the Reservations Manager to support campus scheduling operations, develop training resources, analyze scheduling data, and coordinate space for significant university events. The Assistant Reservations Manager also serves as backup to the Reservations Manager.
Responsibilities
- Serve as the first point of contact for phone calls, walk-in inquiries, and online reservation requests; provide guidance, route inquiries, and process requests.
- Maintain expertise in student organization requests and develop knowledge to process all request types.
- Develop and deliver training and educational resources for students, ECS colleagues, and campus users on the university’s online scheduling system.
- Create, test, evaluate, and revise training content; assist the Reservations Manager with the collaborative council of campus location approvers.
- Collect, organize, manipulate, and analyze scheduling and utilization data to create reports for ECS leadership; review space allocation and support annual assessment reporting.
- Verify and maintain data in the online reservation system, focusing on student organization status and authorized requesters.
- Serve as a functional and system administrator for the university’s online scheduling platform (25Live by CollegeNET).
- Supervise and schedule Reservation Specialists and student aides; provide leadership, conduct performance evaluations, and support staff development.
- Guide student aides in reviewing event promotion information submitted by external units or individuals.
- Coordinate with the Reservations Manager and campus partners on scheduling for recurring university events (e.g., Orientation, Admissions events, Commencement).
- Assist with the execution of significant campus-wide events, including Commencement and Convocation; may require extended shifts on occasion.
Requirements
- Bachelor’s degree or expected graduation by December 2026 (degree must be possessed at time of hire).
- Minimum of one year of work experience.
- Proficiency in computerized systems.
- Ability to make sound decisions in complex situations.
- Strong organizational and prioritization skills to meet deadlines.
- Working knowledge of collecting, compiling, organizing, evaluating, and reporting data (mathematical and statistical).
- Demonstrated ability to establish and maintain effective working relationships with internal and external constituents.
- Excellent oral and written communication skills for diverse audiences, including students and professional staff.
- Ability to work independently and collaboratively while managing multiple tasks.
Preferred Qualifications
- Working knowledge of 25Live by CollegeNET or experience with a computerized scheduling system.
- Supervisory experience with one or more direct reports.
- Current Maryland Crowd Manager certification.
- Experience with software platforms such as Webex, Zoom, Panopto, and Smartsheet.
- Experience in a customer service or higher education environment.
- Demonstrated ability to build and foster collaborative teams.
- Strong critical-thinking and innovative problem-solving skills.
Pay
Targeted hiring range is $45,000–$48,000.
