About the Role

Gates Hudson is seeking an Assistant Property Manager / Tax Credit to support the operational, financial, and resident-facing functions of one of our multifamily communities. This role partners closely with the Property Manager to ensure policy compliance, financial accuracy, team supervision, and a high-quality resident experience. The ideal candidate is organized, detail-oriented, customer-focused, and ready to take ownership of both administrative and operational responsibilities.

Responsibilities

  • Operations & Team Support
    • Support day-to-day property operations in accordance with company policies and applicable laws
    • Supervise and train onsite staff as directed
    • Conduct move-in and move-out inspections
    • Ensure consistent policy implementation
  • Resident Relations & Retention
    • Address resident questions, concerns, and escalations in a timely and professional manner
    • Review notices to vacate and support retention efforts
    • Welcome prospects, conduct tours, and handle leasing paperwork as needed
  • Financial Administration
    • Assist with preparation of the annual budget and monitor expenses throughout the year
    • Process, approve, and submit invoices for payment
    • Maintain and reconcile petty cash
    • Track monthly variances and prepare narratives
  • Vendor & Contractor Coordination
    • Communicate with vendors regarding scheduling, billing, COIs, and performance
    • Ensure use of approved vendors and adherence to budget guidelines
  • Compliance Management
    • Ensure lease files comply with Gates Hudson policy, procedure, and LIHTC/Affordable Program requirements
    • Assist the Property Manager in maintaining all office files and records in accordance with Gates Hudson policy, standard business practice, and LIHTC/Affordable programs
    • Responsible for offices opening on schedule, condition of office, and model apartment
    • Maintain records on all aspects of management activity on a daily, weekly, and monthly basis
    • Submit required reports to corporate offices on a weekly and monthly basis
    • Attend scheduled corporate management meetings and conduct on-site staff meetings
    • Review mail, outside correspondence, and inter-company correspondence
    • Review all initial Tenant Income Certification (TICs) prior to move-in (LIHTC and Affordable)
    • Pre-audit LIHTC/HUD tenant files for mixed-blended properties
    • Prepare for all site audits
    • Assist with the LIHTC portion of the rent ups
    • Assist with review of Certified Rent Rolls mid-year and at year end
    • Assist with preparation of Annual Owner Certifications
    • Centralize and maintain LIHTC tenant files for audit-ready purposes
    • Full understanding of the LIHTC as well as HUD Handbook 4350.3, Rev-1 Chg. 4 rules and regulations
    • Perform in-house audits as needed
    • Respond promptly and professionally to all agencies’ requests for compliance information and explain decisions regarding residents’ eligibility under LIHTC regulations
  • Additional Responsibilities
    • Perform additional duties as assigned
    • Work weekends as needed

Requirements

  • Tax Credit / HUD experience
  • Compliance experience
  • Two or more years of experience in property management, leasing, or related multifamily housing roles, including affordable oversight
  • Strong customer service and communication skills
  • Attention to detail and ability to manage multiple priorities
  • Working knowledge of Fair Housing, ADA, FCRA, and multifamily regulations
  • Ability to work independently and as part of a team

Preferred Qualifications

  • Experience with Yardi, Nexus, or similar property management and accounting systems
  • Prior supervisory or training experience
  • High school diploma or equivalent; additional education or certifications a plus
