About the role

The Assistant Property Manager II assists in all aspects of the administration and property management of the building, aiming to enable residents to live permanently and as safely and independently as possible. This is a full-time, onsite role (5) days a week.

Responsibilities

  • Direct supervision of front desk personnel, including ensuring 24-hour shifts are covered, training and implementing de-escalation and communication techniques, maintaining professionalism, processing leave time requests, submitting timesheets, cleaning and maintaining the front desk area, and maintaining supplies including forms.
  • Cosupervision of maintenance staff and administrative staff, acting as Property Manager during absences, handling emergency on-call responses, processing rent bills, receipts in RealPage, and rent payments, preparing and processing Section 8 and LIHTC certifications, and tracking income certification requirements and deadlines.
  • Aiding the Property Manager in lease and lease renewal creation and execution, accurately processing move-ins, move-outs, unit transfers, and gross rent changes, and assisting with rent collection and arrears pursuit, including coordinating with Housing Court.
  • Assisting with tenant issues such as arrears, housekeeping, disruptive behavior, room maintenance, monthly tenant meetings, and incident reporting, coordinating with social service staff, and maintaining resident files and incident reports.
  • Managing office functions, establishing a 1:1 professional relationship with tenants, and assisting with rent collection and arrears pursuit, as well as managing daily, weekly, monthly, and yearly checklists of maintenance tasks.
  • Conducting regular inspections of building systems, enforcing recycling and garbage regulations, maintaining the Extermination List, and reviewing and processing invoices for payment.
  • Assisting with drafting and typing correspondence, emails, faxes, memos, and notices, taking and maintaining meeting minutes, ordering supplies, and inspecting deliveries.
  • Maintaining tenant files, including lease, income certifications, incident reports, legal correspondence, work orders, and monthly, quarterly, and yearly reports, and ensuring all inspection certificates and equipment inspections are current and have not expired.

Requirements

  • Strong communication skills, math skills, and computer literacy, including Microsoft Word, Excel, and Outlook.
  • Demonstrated flexibility and initiative to work both independently and as part of a team.
  • Detail-oriented and organized.
  • Ability to implement emergency procedures as necessary.

Qualifications

  • High School Diploma or GED, or a combination of education and experience.
  • Two (2) years of comparable work experience in supportive housing, property management, or a closely related field, working with a highly diverse population and/or those with special needs.
  • Working knowledge of LIHTC, Section 8, DHCR, NYC 15/15, ESSHI, SCRIE, and DRIE requirements.
  • Proficiency in Spanish preferred.
  • Proficiency in Microsoft Office - including Word, Excel, and Outlook.

Pay

$X per hour, $Y annually.

Schedule

Monday - Friday 9am - 5pm (35 Hours)
