Assistant Property Manager supporting commercial real estate operations. Responsibilities span administrative, financial, and tenant-relations tasks in collaboration with the Senior Assistant Property Manager and property team.
Responsibilities
- Provide full administrative support: phone, typing, reports, filing, and correspondence distribution.
- Coordinate office supplies in the absence of a property administrator.
- Assist in lease administration, including abstracting leases and maintaining the database.
- Maintain orderly property files, including leases and contracts.
- Prepare and coordinate bid proposals and service contracts.
- Obtain aging reports, follow up on delinquencies, and apply C&W or client-directed policies.
- Process invoices with appropriate backup according to established procedures.
- Coordinate tenant move-ins and move-outs, including furniture delivery and pickup.
- Oversee maintenance of work order and purchase order systems.
- Develop and maintain a comprehensive Tenant Service Package: tenant handbooks, anniversaries, holiday gifts, park events, quarterly newsletters, and training programs.
- Ensure tenant information in the database is current and up to date.
- Update and maintain the property Operations Procedure Manual under manager direction.
- Ensure Certificates of Insurance for tenants and vendors are current.
- Oversee processing of management and maintenance staff hours, expense reports, and check requests.
- Process tenant bill-backs for electrical usage, after-hours HVAC, and similar charges.
- Assist with annual budget preparation, monthly financial reports, and bank deposits.
- Lead regular property inspections with janitorial, landscape, and other service providers.
- Participate in performance oversight of all service contractors.
Requirements
- High school diploma or GED equivalent; Bachelor’s Degree preferred.
- At least 1 year of real estate property management or related experience.
- Proficiency in Microsoft Office Suite.
- Demonstrates initiative and urgency in meeting or improving deadlines.

Work Environment
Professional office setting with routine use of standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. Regular travel between properties in varying weather conditions is required.
Physical Demands
May require traveling between floors, climbing stairs, and moving between buildings in outdoor weather. Regularly remains stationary (sitting or standing) for 85% of the time and operates office machinery.
Pay
$26.56 - $31.25 per hour.
