About the Role

Supports and assists the Community Manager in overseeing and managing the financial and operational facets of the community. This includes completing accounting and bookkeeping tasks, preparing monthly close-out and financial reports, processing invoices for payment, collecting rent and fees, completing bank deposits and reconciliations, and using property management software to record, track, and report on all financial workings of the community.

Responsibilities

  • Completes daily financial transactions and tasks, including collecting and posting rent, fees, and other payments, preparing daily bank deposits, reconciling bank accounts, preparing financial reports, and processing invoices and payables.
  • Operates property management software (Yardi/OneSite) by entering all required fields correctly, completing updates and back-ups to ensure system integrity.
  • Reviews resident files and accounting records to identify unpaid or late fees, communicates with residents regarding outstanding balances, implements collection procedures, and enforces the lease to maximize revenue.
  • Reviews and submits invoices from vendors, contractors, and service providers for payment by reconciling work performed or products purchased, obtaining community manager approval, and coding charges to appropriate Chart of Account codes.
  • Follows the Company’s eviction procedures, including proper notice requirements, representing the community in court hearings, and eviction proceedings.
  • Processes resident move-outs by reviewing lease terms, applying appropriate deposit and lease cancellation fees, and processing dispositions in accordance with legal requirements.
  • Promotes resident satisfaction and retention by responding to complaints, questions, and requests in a timely manner and resolving service issues.
  • Acts as the on-site supervisor in the absence of the community manager by organizing daily work, coordinating maintenance tasks with the maintenance supervisor, and managing community operations in compliance with Company policies.
  • Assists in managing the client/owner relationship by meeting with owners, conducting community tours, providing performance updates, and responding to owner requests.
  • May assist with leasing and marketing efforts, including greeting prospective residents, showing apartments, closing leases, and assisting with rental applications and credit verification.
  • Completes various accounting, financial, administrative, and other reports as assigned.
  • Monitors and ensures compliance with regulatory requirements, organizational standards, and operational processes, reporting violations as needed.
  • Practices proper safety techniques and reports equipment malfunctions, injuries, or other safety issues.
  • Identifies areas for improvement and suggests ways to enhance efficiency, productivity, and profitability.
  • Stays updated on industry trends and changes by attending training, meetings, and accessing information sources.

Requirements

  • Must be able to physically access all exterior and interior parts of the community and amenities.
  • Must be able to push, pull, lift, or carry up to 20 pounds independently and 50 pounds with assistance.
  • Routine local travel may be required for bank deposits, training, or other responsibilities.
  • Must have all licenses and certifications required by State and Local jurisdictions.
  • Must have a valid driver’s license to drive a golf cart on property.

Skills

  • Demonstrated ability to read, write, and communicate effectively to comprehend legal documents, explain apartment features, and answer questions about community operations.
  • Proficiency in Internet, word processing, spreadsheet, and database management programs for completing reports and documents.
  • Strong proficiency in property management software (preferably Yardi and/or OneSite).
  • Demonstrated mathematical skills to perform calculations for financial records, budgets, and fiscal reporting.
  • Understanding of community operations, lease terms, lease enforcement, and collections.
  • Employment history demonstrating community management, sales, marketing, and customer service experience to assist in daily operations, resolve complaints, and coordinate teamwork.
