About the role

Our client is seeking an Assistant Project Manager (APM) to support the successful delivery of commercial plumbing, electrical, mechanical, and special service projects. This role provides hands-on support in project coordination, procurement, scheduling, technical administration, cost tracking, documentation, and customer communication.

Responsibilities

As an Assistant Project Manager, you will support multiple aspects of commercial service projects from startup through closeout. Responsibilities include:

  • Support Project Managers in the planning and execution of assigned commercial service projects.
  • Coordinate communication between field teams, customers, vendors, subcontractors, fabrication teams, detailing personnel, and startup teams.
  • Assist with the development, maintenance, and communication of project schedules, milestones, and critical deadlines.
  • Participate in project meetings and document action items, responsibilities, and follow-up requirements.
  • Develop, maintain, and update project documentation, including RFI logs, submittal logs, purchase order logs, expediting logs, and project closeout documentation.
  • Prepare Requests for Information (RFIs) for Project Manager review and track responses through completion.
  • Distribute RFI responses, project correspondence, drawings, and other documentation to appropriate project stakeholders.
  • Review submittals and shop drawings for alignment with project drawings, specifications, and contract requirements prior to Project Manager review.
  • Assist with preparation of operations and maintenance manuals, warranties, turnover documentation, and project closeout packages.
  • Support equipment, material, and subcontractor procurement activities.
  • Coordinate equipment releases, material orders, and jobsite deliveries.
  • Monitor equipment and material lead times and assist with expediting critical items.
  • Review drawings, specifications, contracts, and related project documentation.
  • Help identify scope gaps, drawing discrepancies, coordination conflicts, and potential project risks.
  • Coordinate equipment approval and submittal processes with customers, engineers, vendors, and project teams.
  • Maintain accurate project records, reports, tracking tools, and performance metrics.
  • Assist Project Managers with project budget tracking, cost reporting, forecasting, and financial documentation.
  • Support the development and documentation of change orders and potential change orders.
  • Review invoices, purchase documentation, and billing information for accuracy.
  • Build and maintain positive working relationships with customers, general contractors, subcontractors, vendors, and internal team members.
  • Support project teams in maintaining a strong focus on safety, quality, schedule, and customer satisfaction.

Qualifications

Required education and experience include a Bachelor's degree in Construction Management, Mechanical Engineering, Building Construction, Engineering, or a related field; OR an Associate degree, technical training, military experience, or equivalent industry experience in HVAC, plumbing, electrical, mechanical service, MEP contracting, or a related field.

Basic knowledge of drawings, specifications, materials, equipment, and MEP service processes is required, as well as proficiency with Microsoft Office, particularly Excel and Outlook.

Skills

Required knowledge, skills, and abilities include strong organizational and project coordination skills, ability to manage multiple priorities, deadlines, and project documentation requirements, strong attention to detail and consistent follow-through, effective written and verbal communication skills, and strong problem-solving and critical-thinking abilities.

Ability to read and develop familiarity with drawings, specifications, submittals, and contract documents is also required, as well as the ability to communicate professionally with customers, vendors, subcontractors, and field personnel.
