About the Role
BGIS Integrated Technical Services (ITS) US (dba Millian Aire Enterprise LLC) is seeking an Assistant Project Manager to join the team in Hudson, FL and surrounding areas. BGIS is a global leader in facility management services, project delivery, energy & sustainability, asset management, workplace advisory, and real estate services. With a combined team of over 500 commercial field technicians in the US, BGIS and Millian Aire focus on delivering memorable customer experiences by developing a skilled team of commercial technicians and providing ongoing training, support, and career development.
Responsibilities
- Plans and oversees the end-to-end delivery of assigned projects, typically of low complexity, risk, and exposure.
- Collaborates with project stakeholders to define project scope, deliverables, and requirements.
- Develops and implements project plans, including resource and budget requirements, cost estimates, and timelines.
- Identifies project risks and develops mitigation and contingency plans.
- Monitors project delivery against timelines and ensures timely completion.
- Oversees project team members and monitors task completion.
- Communicates project status to relevant stakeholders.
- Ensures projects are delivered on time, within scope, budget, and requirements, complying with all regulatory, environmental, and health and safety standards.
Project Controls
- Assumes financial responsibility for projects, including accurate and timely reporting to stakeholders.
- Facilitates invoice payments from clients and to vendors.
- Reviews and approves vendor billing.
- Prepares client and vendor change orders.
- Monitors, controls, and reports on the financial performance of projects.
- Drafts contract and purchase agreements.
- Maintains all required project-related data in the Project Management Software system of record, ensuring data integrity throughout the project lifecycle.
- Collects and prepares project start and closeout materials, including Submittals, Operation & Maintenance Manuals, Expediting Reports, Change Order Log, RFI log, and Correspondence Log.
Client Relationship Management
- Develops and maintains effective relationships with clients.
- Resolves issues, manages client expectations, and ensures client satisfaction.
- Performs other duties as assigned.
Requirements
- High School Diploma (required).
- College diploma in architectural technology, construction technology, engineering technology, business management, or equivalent work experience (preferred).
- 1 to 3 years of project management work experience; or 5 to 7 years of project coordination work experience.
- Proven ability and experience in delivering projects on-time, on-budget, and within specifications, including compliance with regulatory, environmental, health, and safety requirements.
- Proven ability and experience in developing and managing project budgets.
- Proven ability and experience in mitigating and managing project risks.
- Strong communication, influence, persuasion, and negotiation skills.
- Proven ability and experience in building and maintaining effective relationships.
- Proven ability and experience in managing client relationships and expectations.
- Strong client service orientation.
- Proven ability and experience in managing vendor performance.
- Continuous improvement and quality mindset, with a desire to incorporate best practices and technologies.
- Proficient in MS Office suite and ability to quickly learn new applications.
Qualifications
One or more of the following would be considered an asset:
- Project Management Institute Accreditation
- LEED certification
- Construction Administration Certificate
Physical Demands and Work Environment
- Ability and willingness to travel regionally.
- Physical ability to navigate jobsites in uneven terrain.
- Provide personal transportation for meetings and job visits away from the office (reimbursed).
- Physically able to occasionally lift up to 50 pounds.
