About the role
The Location Coordinator will provide administrative, financial, technical, and/or specialized support to elevator operations. This role may include entering orders/contracts into the system, working with customers, coordinating logistics and paperwork, and assisting with new hire onboarding. Typically supports multiple business areas or facilities, including operations, customer service, human resources, payroll, maintenance, facilities, logistics, and finance.
Responsibilities
- Ensure all payables related to assigned products or locations are processed promptly.
- Review each commodity invoice for accuracy, including related freight charges.
- Handle extensive customer service responsibilities, including resolving problems and discrepancies, and building relationships.
- Review all payables in the grain system and correct any discrepancies between vendor invoices and established payables vouchers on a daily basis.
- Review weekly all payables and receivables needing additional paperwork to complete processing.
- Respond to routine correspondence in a timely fashion with farmers, corporate management, federal auditors, and other external parties.
- Assist with elevator duties such as weighing trucks and communicating via 2-way radio.
- Maintain up-to-date and easily accessible filing.
- Assist merchandisers, regional managers, and accounting staff with reconciliations of A/R and A/P accounts.
- Provide general office and accounting support.
- Work with the merchandiser and manager to ensure all service work and documentation are up to date.
- Accurately enter data for inbound/outbound truck and rail units.
- Assist with the verification of daily reports with tickets loaded and unloaded into the facility and resolve any issues.
- Report any safety hazards, environmental issues, or system deficiencies in the workplace to a supervisor or instructor.
Requirements
- High school diploma or equivalent.
- Strong willingness to learn new processes.
- Basic accounting and bookkeeping knowledge; 3 years’ experience desired.
- Ability to meet deadlines in a fast-paced environment.
- General office experience.
- Grain experience a plus.
- Ability to multi-task.
- Strong interpersonal communication skills.
- Teamworking skills; ability to work as a member of a team to share ideas and solve problems.
- Good 10-key data entry skills.
- Proficiency in Microsoft Office Suite – Excel, Word, Access, etc.
