About the Role

Full-time Assistant General Manager position at our Boca Raton, FL office. The Assistant General Manager oversees their respective office, teams, and processes essential to our success. An AGM helps build a team of capable and competent employees to enhance and optimize operational performance.

Schedule

Full time, 30+ hours per week. Availability Monday through Friday with occasional Saturdays during business hours of 6am–6pm. Flexibility to cover in a team environment is required.

Responsibilities

  • Develop an A-team that delivers A-level operational outcomes and processes, fostering a culture of positivity with NPS for providers & staff above 82.
  • Perform as a stable operations leader, achieving KPIs and measurable goals such as financial collections, no-show rates, and provider utilization.
  • Optimize operational processes to meet goals, including staffing percentages and budget adherence.
  • Collaborate effectively with other company departments to achieve successful results.
  • Drive key change and transformation initiatives aligned with organizational strategic goals.
  • Audit SOPs and ensure accountability for SOP compliance at all office levels, coaching staff to ensure all are A-players.
  • Hold the team accountable for C.A.R.E Core Habits.
  • Build a capable and competent office team while working closely with Operations, HR, Billing, Accounting, IT, Marketing, PSC, providers, and fellow offices.
  • Develop the office team cost-effectively and build a knowledge base across all disciplines.
  • Provide a strong culture of continued education and training for all staff members.
  • Manage, develop, and coach Patient Coordinators (PCs) and Medical Assistants (MAs).
  • Ensure full accountability of office SOP compliance through consistent auditing and follow-through.
  • Achieve monthly office goals set by the General Manager, tracking financial and patient satisfaction goals, including no-show rates, financial balance collection, inventory tracking, and patient satisfaction.
  • Ensure staffing, medical supplies, and office supplies meet or are below budget.
  • Promote a culture of positivity and long-term sustainability, obtaining high levels of patient satisfaction (NPS above 82 or office-specific goal).
  • Review NPS results daily and respond to promoter and detractor scores, implementing action plans for areas of opportunity.
  • Resolve all patient messages within 24 hours and update patients daily until resolved.
  • Maintain 15+ 4/5 star external reviews (Yelp/Google).
  • Achieve smooth, autonomous office-level operations with minimal provider and staff complaints.
  • Ensure the office runs independently with most problems resolved at the site level.
  • Create a positive and respectful office environment.
  • Close out and act on all biopsies or labs from over two weeks ago.
  • Reconcile collections and manage deposits per SOP.
  • Understand MA and PC roles to fill in as needed.
  • Maintain regular communication with providers and involvement in office decisions to ensure team alignment.
  • Verify all office appointments for the next two days are accurate and correct scheduling errors.
  • Assist in staff scheduling management and provider scheduling data entry for payroll.
  • Support staff recruitment and interviews.
  • Assist as AGM at another office in the geographical region if needed.
  • For offices with Mohs surgery: ensure cases are done in-house unless otherwise requested, maintain CLIA certification and lab directorship, and ensure Mohs staff are properly credentialed and trained. Set up post-care concerns to go directly to the surgeon.
  • Perform other duties as assigned by the supervisor.

Requirements

  • 2+ years in a Medical Assistant/RN role with leadership experience
  • Ability to take initiative
  • Strong communication skills
  • Experience with EMR (Electronic Medical Records)
  • Strong problem-solving skills
  • Working knowledge of HIPAA & OSHA compliance

Pay

Compensation range: $55,000—$60,000 USD
