About the role
The City of Gainesville seeks an experienced administrative support professional to assist one of their Assistant City Managers. Key responsibilities include developing and overseeing administrative details, composing and editing complex documents, and assisting with confidential matters.
Responsibilities
- Develops, plans, and oversees administrative details and coordinated workflow of assigned area.
- Composes, edits, and communicates complex administrative documents.
- Provides consultation and assistance regarding specific matters within area of expertise.
- Assists in the drafting and administration of complex documents.
- Researches, reviews, gathers, and compiles detailed and specialized information.
- Prepares and administers the department budget including purchasing authority.
- Supervises, plans, and coordinates work of subordinates.
- Provides training and instruction in areas of expertise.
- Provides leadership and direction to staff.
- Assists administrator with confidential/sensitive materials related to labor agreements, political issues, personnel matters, and/or criminal records.
- Maintains confidentiality and responds appropriately to sensitive/confidential issues.
- Serves as a liaison between department and division managers.
- Attends work on a regular and continuous basis.
Requirements
- Possession of an Associate’s degree from an accredited college or equivalent vocational/technical training.
- Three (3) years responsible experience, or an equivalent combination of training and experience which provide the required knowledge, abilities, and skills.
- Previous experience supporting a high level administrator is a plus.
Qualifications
- Experience with computers and software such as: Word, Excel, Outlook, RTE, and PowerPoint.
- Demonstrated proficiency in relevant software and advanced computer skills.
Skills
- Detail-oriented multi-tasker.
- Experience with payroll, setting-up meetings, making travel arrangements, maintaining a supervisor’s calendar, researching various issues and topics, creating meeting agendas, drafting correspondence and maintaining confidential information.
