About the Role

The Assistant Director of Project Management oversees the planning, execution, and accuracy of both the Project Management and Prepress Technician teams. This role contributes to digital and manufacturing objectives for quality, productivity, and service through process improvements or re-engineering. Responsibilities include identifying training needs, developing empowered teams, and implementing systems to achieve world-class operations standards.

Key systems utilized in this role include Adobe WorkFront, Tharstern, Infigo, Dropbox, Adobe Creative Suite, and BCC Bulk Mailer. The Assistant Director sets and maintains deadlines, assigns responsibilities, and monitors the capabilities of both Project Managers and Prepress Technicians.

Responsibilities

  • Serve as a key driver under the Director of Print and Mailing Services for planning and master production schedules for all projects.
  • Proactively communicate with Project Management, Prepress, and Production personnel to ensure accountability for critical dates and production schedules.
  • Manage and accept daily responsibility for assigned personnel performing digital production-related tasks.
  • Determine weekly staffing requirements and re-deploy resources to address shifting priorities and scheduling changes.
  • Lead Project Management and Prepress teams to manage print campaigns, ensuring high quality, cost-effectiveness, and timely production.
  • Work proactively with vendors to drive continuous improvement and optimal production solutions for software systems and concepts.
  • Maintain up-to-date knowledge of USPS postal requirements and ensure compliance for assigned projects.
  • Process and track mock-ups, prototypes, electronic templates, and printer proofs.
  • Proactively communicate supply chain issues to the production team and coordinate accordingly.
  • Participate in and lead relationship and business reviews with key partners and vendors.
  • Remain abreast of existing and emerging projects to ensure completion aligns with client requests.
  • Foster effective teamwork and communication within the project management and production teams.
  • Manage POs in the Jaggaer system against open orders within the department.
  • Complete chargebacks for all completed projects in Jaggaer for work within the University.
  • Create invoices for projects completed outside the University and submit them to accounting for billing.
  • Quote assigned projects for Printing & Mailing Services, including marketing and non-marketing projects.
  • Maintain proficiency in Adobe WorkFront, Tharstern MIS, Infigo web-to-print system, Adobe Creative Suite, and BCC Bulk Mailer.
  • Adhere to Liberty University policies and represent the University professionally.

Supervisory Responsibilities

  • Oversee a staff of 9 employees and 1 student worker.
  • Directly manage the Project Managers and Prepress teams.

Requirements

  • Bachelor’s degree required.
  • 3-5 years of experience in publishing, purchasing print, lettershop, project management, or supply chain management, with at least two years of management experience.
  • Knowledge of the print production process for 4-color publications.
  • Exposure to USPS postal regulations is a plus.
  • Strong attention to detail and operational workflow dynamics to track and analyze production status.

  • Public communication skills for representing Liberty University to business and community stakeholders.
  • Strong organizational and computer skills.
  • Ability to reason, analyze information, and solve routine and complex problems.

Physical and Sensory Abilities

  • Occasional travel to local and campus locations.
  • Frequent sitting for extended periods to perform deskwork or type on a keyboard.
  • Regular verbal and auditory communication.
  • Occasional standing, walking, and climbing stairs.
  • Ability to handle materials, reach overhead, kneel, or stoop.
  • Regularly lift up to 30 pounds.

Working Conditions

The role operates in a climate-controlled office and production setting, which is well-lit with a moderate noise level. Periodic driving of university vehicles may be required; a valid Virginia driver’s license, acceptable DMV record, and liability insurance are necessary.

Pay

$60,000.00 - $70,000.00 annually, based on qualifications, experience, education, skills, and certifications, along with University needs and external market conditions.
