About the role
The Assistant Director plans and oversees the Corps engagement and events through effective communication methods, strategic volunteer management, and data/records management. They report to the Director of Alumni Relations and work closely with the Chief Advancement Officer.
Responsibilities
- Plans and executes special events with extensive professional experience.
- Selects event dates, manages calendars, coordinates with caterers, venues, and vendors, and collaborates with various stakeholders.
- Fosters meaningful engagement with diverse stakeholders through developed strategies.
- Interacts effectively with a wide range of constituencies, including vendors and external partners.
- Communicates clearly in both written documents and verbal presentations.
- Maintains strong attention to detail in a fast-paced, deadline-driven environment.
- Manages event budgets and ensures cost-effective planning and execution.
- Manages guest lists, invitations, RSVPs, and event materials such as nametags, scripts, bios, and day-of-event supplies.
- Conducts post-event evaluations, including compiling final reports, analyzing feedback, and maintaining inventory of supplies and promotional items.
- Uses a variety of software tools, including the Microsoft Office Suite.
Requirements
- Bachelor’s degree required; equivalent relevant experience may be considered.
- Extensive professional experience in planning and executing special events.
- Documented history of success in selecting event dates, managing calendars, coordinating with caterers, venues, and vendors, and collaborating with various stakeholders.
- Proven ability to develop and implement strategies that foster meaningful engagement with diverse stakeholders.
- Strong ability to interact effectively with a wide range of constituencies, including vendors and external partners.
- Excellent communication skills, with a proven ability to articulate ideas clearly in both written documents and verbal presentations.
- Demonstrated ability to manage multiple priorities independently while maintaining strong attention to detail in a fast-paced, deadline-driven environment.
- Experience managing event budgets and ensuring cost-effective planning and execution.
- Proficient in managing guest lists, invitations, RSVPs, and event materials such as nametags, scripts, bios, and day-of-event supplies.
- Ability to conduct event closeouts, including compiling final reports, analyzing feedback, and maintaining inventory of supplies and promotional items.
- Experience using a variety of software tools, including the Microsoft Office Suite.
Qualifications
- Familiarity with alumni relations operations and volunteer program coordination, particularly within a university or nonprofit setting.
- Knowledge of best practices for engaging young alumni and current students through targeted programming and communications.
- Working knowledge of fundraising and/or event planning systems such as Blackbaud (AIMS), Doodle, and/or Google Workspace.
- Demonstrated experience in planning and executing special events in support of university advancement or similar initiatives.
- Proven ability to build relationships and collaborate effectively with diverse stakeholders in higher education.
