Duties And Responsibilities
- Helps identify areas needing improvement within departments and overall improvements within all centers.
- Aids in interviewing, selecting, evaluating, coaching, and training team members.
- Aids in onboarding of new team members and training.
- Handles Physicians' scheduling and cancellations, ensuring optimum service is rendered to the patients.
- Maintains effective communication among team regarding changes and updates of physician schedules, including scheduling, rescheduling, and appointment cancellations.
- Captures patient birthdays, holiday events, and other miscellaneous activities with the activity coordinator.
- Supervises the Patient Registration process for accuracy including verification of insurance, waivers, assigned providers, etc.
- Aids in timekeeping by maintaining employee edit requests, Paid Time Off requests, etc.
- Ensures compliance with all licensing including local, state, and federal regulatory agencies related to clinical services provided are up to date.
- Sends Daily Morning Pulse, completes daily center checklists, and monitors daily huddles.
- Keeps fire drills and dental logs updated.
- Assists in keeping inventory of supplies and placing orders as needed including office/coffee supplies, pastries, and meals.
- Confirms transportation list is accurate and sent to the transportation team in a timely manner.
- Ensures phones are being answered professionally and promptly.
- Processes Daily Task Reports and follows up with team members on any open tasks.
Qualifications / Education / Licenses
- At least two (2) years of medical office or healthcare administrative experience.
- MS Office programs experience.
- Must have CPR certification from the American Heart Association.
- Training and certification can be provided upon hire.
- Use relevant information and individual judgment to determine whether events or processes comply with laws, regulations, or standards.
- Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
- Use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
- Understand written sentences and paragraphs in work related documents.
- Knowledge of medical terminology.
- Bilingual skills preferred (English/Spanish).
