Assistant Administrator (with Illinois LNHA)
Job Summary
Under the direction and supervision of the Administrator, the Asst. Administrator is delegated with responsibility and authority for the internal operations of the facility in accordance with current Federal, State, and local standards, guidelines and regulations, facility policies, and as may be directed by Alden Management Services.
Qualifications
- College education or licensed nurse QUALIFICATIONS preferred.
- Nursing Home Administrator License preferred.
- Strong Working Knowledge / Background in Behavioral Health preferred.
- Knowledge of Long-Term Care preferred.
Must be able to read, write, and speak the English language in an understandable manner and communicate effectively.
Must be able to deal tactfully and have the ability to work effectively with residents, families, personnel, support agencies and the general public.
Must possess the ability to make independent decisions when circumstances warrant such action.
Must have patience, enthusiasm, and a cheerful disposition.
Must possess leadership and supervisory ability and willingness to work harmoniously with all personnel.
Physical Requirements
- Must be able to move intermittently throughout the workday.
- Must be able to cope with the mental and emotional stress of the position.
- Must possess sight/hearing senses or use prosthetics that will enable these senses to function adequately so that the requirements of the position can be fully met.
- Must function independently, have flexibility, personal integrity, and the ability to work effectively with residents, visitors, personnel, and support agencies.
- Must be in good general health and demonstrate emotional stability.
- Must be able to relate to and work with ill, disabled, elderly, emotionally upset, and at times hostile people.
- May be required to lift, push, pull, and move equipment, supplies, etc., throughout the day.
- Is subject to exposure to infectious waste, diseases, conditions, etc., including exposure to the (HIV) Aids and Hepatitis B viruses.
Essential Functions
- Plan, develop, organize, implement, evaluate, and direct the facility in its programs and activities.
- Assure that all procedures are followed in accordance with established policies.
- Directly supervise employees and instruct staff providing in-services training to promote job knowledge.
- Identify problems, develop, and implement solutions with the assistance of Alden Management Services.
- Assure that quality care is being rendered.
- Assure the necessary and appropriate information to facilitate the admission of the residents to the facility from the home, hospital, or other facility, and to complete the paperwork necessary for the admission process.
- Represent the facility to clients, hospitals, and community agencies, establishing a good rapport with the transferring institutions.
- Provide direction for the entire facility in the absence of the Administrator.
Referral Process
- Tour and interview potential residents/resident representatives, collecting accurate data on admission inquires.
- Accept reservations for resident accommodations in an accurate and organized manner.
- Communicate, effectively and efficiently, with hospital and community agencies regarding admission referrals.
- Analyze referrals to ensure facility can meet resident’s needs adequately.
- Facilitate a decision for admission approval and notification of admission approval timely to referring agency.
- Confer with Administrator and nursing department in assigning appropriate rooms to residents.
- Communicate resident admissions, discharges, or room transfers to appropriate departments in a timely manner.
Admission Process
- Complete required identified offender registry verifications and initiate criminal background check requests per facility policy.
- Implement process to ensure all new residents, upon admission, are greeted and escorted to the assigned resident room.
- Explain facility philosophy, policies and procedures to potential residents, new residents, and residents’ representatives.
- Maintain an accurate resident roster.
Behavioral Health
- Responsible for assuring complete oversight of the Behavioral Health Program of the facility.
- This includes the development and ongoing management of quality clinical services; ensuring compliance with all relevant licensing and certification standards; quality review of all required documentation including ensuring proper treatment planning; census development; ensuring proper crisis management; training, supervision, and management of Behavioral Health staff; and coordination of all services with other facility departments and administration.
- Ensure quality treatment and behavioral interventions for unit, as well as for other residents in facility, whom may have behavioral/mental health issues.
- Ensure clinical appropriateness of all admissions to Behavioral Health Unit, as per unit policy.
- Ensure overall safety of Behavioral Health Unit, including ensuring that all crises are managed appropriately.
- Ensure compliance of all regulatory requirements as set forth by Federal, State, local and facility requirements.
- Ensure quality and timely completion of all required clinical documentation.
- Work flexible hours, as needed, based on the needs of the Behavioral Health Unit/facility.
- Maintain personal and professional high standards of practice.
- Prepare and provide clinically relevant treatment/interventions; train, supervise, and oversee staff in preparing and providing clinically relevant treatment/interventions.
- Intervene with problematic and disruptive behaviors; train, supervise, and oversee staff in intervening with problematic and disruptive behaviors.
- Respond to crisis per facility policy and procedure; train, supervise, and oversee staff in responding to crisis per facility policy and procedure.
- Follow and help maintain and enforce all facility rules, regulations, policies, and procedures; train, supervise, and oversee staff in following all facility rules, regulations, policies, and procedures.
- Establish and follow quality assurance protocol to ensure compliance with all regulatory standards.
- Oversee the over-all functioning of the Behavioral Health Unit, including but not limited to, training and directing staff from other departments, in coordination with other department heads/supervisors.
- Attend and participate in all meetings, trainings, etc. as scheduled by the facility administrator and/or Director of Operations of Clinical Programs.
- Report all signs of resident abuse or neglect.
- Participate in investigations of incidents in facility.
- Respect and enforce all resident rights.
- Review relevant behavioral and tracking reports daily and ensure follow-up.
- Coordinate services with other facility departments, as well as other professionals contracted in providing services to residents.
- Attend all in-services and participate in Continuing Education.
- Recommend required changes to improve resident care, stay within budget, or both.
- Recommend improvements in facility physical plant and equipment.
- Handle employee grievances and report to Administrator.
- Schedule department work hours, personnel, work assignments, etc., to expedite work.
- Counsel/discipline personnel as necessary.
- Create and maintain an atmosphere of warmth, personal interest, and positive emphasis, as well as a calm environment throughout the facility.
- Plan, conduct, and participate in In-service Education Programs.
- Aid in the implementation and maintenance of an effective orientation program that orients the new employee to the facility, his/her department, and its policies and procedures.
- Attend and participate in continuing education programs.
- Perform other related duties as assigned.
