Assistant Account Executive

About the role
Black Flower Agency, a NYC-based experiential marketing and events agency and a key United States business unit of MCI Group, is seeking a highly organized, energetic, and self-starting Assistant Account Executive. This role will work with a team delivering a loyalty program that provides exclusive premium experiences to VIP consumers in sports, entertainment, fashion, art, and lifestyle verticals. The position may also assist with luxury hospitality event and logistics management at large-scale client activations, as well as general administrative and office duties.
Responsibilities
- Manage assigned event workstreams and marketing initiatives for high-end experiential and hospitality events, including research, venue sourcing, vendor management, collateral development, creative submissions, production schedules, guest list management, ticketing, shipping + supply management, onsite execution, data collection, and post-event reporting.
- Drive day-to-day support (event/administrative) to the internal team, including crafting meeting agendas and recap notes, client reports, daily event sales tracking, weekly status reports, agency newsletters, and deliverables trackers.
- Serve as the day-to-day owner of assigned event workstreams, evaluating priorities, identifying risks, and recommending solutions to maintain project objectives, timelines, and client expectations.
- Analyze event performance metrics and prepare recommendations for future activations, operational improvements, and guest engagement strategies.
- Develop and manage project plans and event documentation while identifying risks, recommending solutions, and ensuring alignment with client objectives.
- Manage assigned marketing submission and approval processes, interpreting brand standards and regulatory requirements to ensure compliance and successful execution.
- Manage relationships with assigned vendors and external partners, evaluating options, resolving issues, and making recommendations regarding service delivery and event execution.
- Gain a thorough understanding of brand rules and regulations.
- Participate in client conference calls and in-person client meetings, when needed.
- Monitor assigned project budgets, analyze spending against plan, identify variances, and recommend corrective actions to support financial objectives.
- Manage project approval workflows and business processes, ensuring compliance with client requirements, internal standards, and established timelines.
- Lead assigned event responsibilities on-site, resolving issues and making real-time operational decisions to support successful event delivery.
- Research industry trends and develop recommendations to improve client experiences, operational effectiveness, and marketing program performance.
- Collaborate across multidisciplinary agency teams, participate in meetings, and build strong internal and external relationships.
- Oversee office and event supply inventory, shipping, logistics, and organizational processes to support successful agency operations and event execution.
- All other duties as assigned.
Requirements
- Bachelor’s degree in Marketing, Communications, Hospitality, Event Management, Business, or a related field preferred.
- 1-2+ years of relevant experience in experiential marketing, events, hospitality, marketing, agency operations, or a related field. Strong internship experience may be considered in lieu of professional experience.
- Experience coordinating multiple projects, deadlines, vendors, and stakeholders in a fast-paced environment.
- Customer service, hospitality, or client-facing experience preferred.
- Ability to work occasional evenings, weekends, and travel as required to support events.
- Proficiency with Microsoft Office Suite (Excel, PowerPoint, Word, Outlook). Experience with project management, event management, or collaboration tools is a plus.
- Conversational proficiency in additional languages is a plus.
Professional and Leadership Competencies
- Must be based in the New York City or Tri-State areas (role is in office Monday – Thursday, and remote on Friday).
- Ability to travel (domestically and internationally) and work nights and weekend events as needed.
Pay
$50,000–55,000 annually, based on relevant experience and skills.
