Job Summary

This position will be responsible for backing up all plant administrative activities across the area of responsibility. This will include maintaining detailed documentation of plant administrator procedures specific for each location within the area, providing backup administrative resource for any scheduled or unscheduled absences, providing guidance and mentoring to less skilled plant administrators, participation in the development and implementation of a best practice for plant administrators and ensuring that locations comply with established internal control policies and procedures for the region. Assist location management or regional management in special project research as required.

Essential Functions

  • Provide ongoing guidance in the area of plant accounting procedures and internal control compliance. This may include some software training.
  • Provide guidance and support to lesser-experienced plant office administrators.
  • Aid the Manager, Plant Admin Support, Supervisor, Plant Admin Support and/or Plant Manager with keeping the location in compliance with all internal control policies and procedures along with any required research for special projects relating to improving plant costs or related financial analysis.
  • Serve as a liaison between Accounting Department, other Administrative Departments and location personnel, communicating management’s perspective on plant accounting procedures and administrative policies.
  • Keep management apprised of potential problems and recommended solutions.
  • Provide backup support for scheduled and unscheduled plant administrator vacancies, including vacations, illnesses, and off site training.
  • Perform a variety of daily plant duties for plant manager or accounting; purchase orders, payables, time cards, fuel usage and receipts, bank deposits, analyzing costs and preparing detailed reports for plant manager.
  • Prepare month end closing information for Accounting based on current closing schedule; fuel inventories, fixed asset changes, equipment rentals, timecards, accounts payable invoices, accounts payable accruals and location production reports.
  • Serve as a contact for the plant.
  • Receive guests and answer phones directing questions or problems to the appropriate individual.
  • Work with other plant admin support staff to evaluate the effectiveness of internal controls design at area locations and operations.
  • Participate in region and corporate level audits and assist in developing changes where needed for compliance with current internal control policies and procedures.
  • Participate in maintaining a plant accounting best practice instruction manual.
  • Develop and maintain a location plant administrator reference manual detailing any site specific procedures that will assist any replacement personnel in completing required tasks.
  • Stay abreast of policies and issues that pertain to plant activities from Human Resources and Safety.

Education

  • A high school diploma required.
  • A bachelor's degree or equivalent experience in accounting related activities preferred.

Experience

  • A minimum of three (3) to five (5) years office experience in bookkeeping or accounting is required.
  • Construction industry experience is preferred.

Knowledge, Skills, And Abilities

  • Must possess an understanding of accounting principles.
  • Knowledge of common office practices, etiquette, procedures, and office equipment are required.
  • Must have the ability to use computerized equipment and technology including working knowledge of all Microsoft Office products.
  • Must possess good organizational skills, and the ability to prioritize and handle multiple tasks simultaneously.
  • Able to communicate effectively in a professional manner at various levels within the organization.
  • Possess solid understanding of all daily and monthly accounting related information as required.

Other Requirements

  • This individual will be required to drive between locations within the area of responsibility on a daily basis.
  • Must possess and maintain a valid drivers license with an acceptable driving record.
  • This position may involve exposure to dust, dirt and noise.
  • This position may require occasional overnight stays along with significant driving and/or air travel.
