About the role

The ARC Filing & Docketing Manager oversees the ARC Filing & Docketing Specialists, ensuring timely and high-quality administrative support for attorneys across the firm and various practice areas. This role operates in a collaborative, team-oriented environment to deliver exceptional service to internal and external clients.

Responsibilities

  • Provide oversight and guidance to a team of ARC Filing & Docketing Specialists to ensure adherence to quality standards, error-free work, and meeting deadlines.
  • Foster a collaborative and supportive environment, offering opportunities for team growth.
  • Assist in developing and implementing BigHand NOW workflows, including user administration and tracking productivity metrics.
  • Coordinate high-functioning teams to ensure optimal attorney coverage and proper staffing for departmental and practice area demands.
  • Develop and enforce policies, procedures, and operational standards to maintain efficiency and productivity.
  • Participate in the orientation and training of new employees.
  • Work closely with ARC Filing and Docketing Workflow Coordinators to prioritize assignments and meet deadlines.
  • Evaluate workflow regularly to ensure equitable work distribution and consult with attorneys to adjust team pairings or work distribution as needed.
  • Proactively manage employee relations, gather feedback, and conduct evaluation meetings to ensure team success.
  • Collaborate with internal and external resources to complete projects and tasks.
  • Ensure adherence to firm policies, procedures, and confidentiality standards.
  • Assist in recruitment, including sourcing candidates, resume screening, scheduling interviews, and conducting interviews.
  • Maintain the applicant tracking system (UltiPro), post open positions, and coordinate with Talent Acquisition.
  • Work with Human Resources to arrange temporary employees and ensure active staff agreements.
  • Drive the onboarding and off-boarding process, including offer letters, reference checks, and background checks.
  • Facilitate new hire orientations and paperwork completion.
  • Assist with performance management processes and maintain exit interview data to identify trends and recommend actions.
  • Source and draft materials for professional development sessions, including invitations, agendas, and presentations.
  • Coordinate resources such as conference rooms, WebEx/Teams scheduling, training materials, and trainer management.
  • Schedule and track training session attendance in the database.
  • Perform other related duties and projects as assigned.

Requirements

  • Bachelor’s Degree required; applicable work experience, including supervisory experience, may be considered in lieu of a degree.
  • Minimum of ten years’ related experience at a law firm, legal department, or corporate legal environment.
  • Minimum of five years’ supervisory experience overseeing geographically diverse teams.
  • Working knowledge of BigHand or comparable workflow software.
  • Experience with state, federal, and governmental/administrative agency filings, document retrieval, rules, procedures, and deadline management.

Skills

  • Ability to manage multiple priorities in a fast-paced, high-pressure, deadline-driven environment with excellent judgment and decision-making skills.
  • Proficiency in calendaring systems, electronic filing in state and federal courts, and web-based research.
  • General knowledge of court rules and procedures in state and federal courts.
  • Proficiency in calendaring software (e.g., Milana) and online court databases (e.g., PACER, Courtlink, File and Serve).
  • Ability to maintain and update docketing systems accurately, ensuring correct deadline calculations.
  • Strong leadership skills to develop high-performing teams through feedback and learning opportunities.
  • Ability to manage workflow portals, including updating and implementing processes in BigHand Now.
  • Strong people and project management skills for organizing and executing projects involving internal and external clients.
  • Interpersonal and conflict-resolution skills to build productive relationships.
  • Ability to gather, summarize, and prioritize data for reports and solutions.
  • Intermediate-level proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint).
  • Excellent verbal and written communication skills, with a high level of professionalism in handling sensitive and confidential situations.
  • Outstanding customer service skills for internal and external clients.
  • High proficiency in using office equipment, including computers, phones, copiers, and transcription tools.

Work Environment & Physical Demands

This role operates in a clerical, office setting and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. The position requires on-site presence in a Fox Rothschild LLP office.

  • Sedentary work involving lifting, carrying, pushing, or pulling objects up to 10 pounds.
  • Primarily involves sitting, with occasional walking and standing as necessary.

Pay

The salary ranges for this position vary by location and reflect factors such as experience, education, licensure, geographic location, market demands, and organizational needs. It is not typical for an individual to be hired at or near the top of the range. Reasonable estimates of the current ranges are:

  • Chicago and Philadelphia: $129,000 - $162,000
  • Los Angeles and Washington, D.C.: $139,000 - $172,000
  • New York and San Francisco: $164,000 - $197,000
