ARC Filing & Docketing Manager
About the role
The ARC Filing & Docketing Manager oversees the ARC Filing & Docketing Specialists, ensuring timely, high-quality administrative support for attorneys across the firm’s practice areas. This role fosters a collaborative, team-oriented environment to deliver exceptional service to internal and external clients.
Responsibilities
- Provide oversight and guidance to a team of ARC Filing & Docketing Specialists to ensure adherence to quality standards, error-free work, and meeting deadlines.
- Foster a collaborative and supportive environment, offering opportunities for team growth.
- Assist in developing and implementing BigHand NOW workflows, administering users, and tracking productivity/efficiency metrics.
- Coordinate high-functioning teams to ensure optimal attorney coverage, proper staffing levels, and handling of scheduled/unscheduled absences.
- Develop and enforce policies, procedures, and operational standards to maintain efficiency and productivity.
- Participate in the orientation and training of new employees for seamless team integration.
- Work with ARC Filing and Docketing Workflow Coordinators to prioritize assignments and meet deadlines.
- Evaluate workflow regularly to ensure equitable work distribution and consult with attorneys to adjust team pairings or work distribution as needed.
- Proactively manage employee relations, gather feedback, conduct evaluation meetings, and deliver performance reports.
- Collaborate with internal and external resources to complete projects and tasks.
- Ensure adherence to firm policies, procedures, and confidentiality standards.
- Assist in the recruitment process, including sourcing candidates, resume screening, scheduling interviews, and conducting interviews.
- Maintain the applicant tracking system (UltiPro), post open positions, and coordinate with Talent Acquisition.
- Work with Human Resources to arrange temporary employees and ensure active staff agreements.
- Drive the onboarding and off-boarding process, including drafting offer letters, reference checks, and background checks.
- Facilitate new hire orientations and paperwork completion.
- Assist with performance management processes and maintain exit interview data to identify trends and recommend actions.
- Source and draft materials for professional development sessions, including invitations, agendas, presentations, and training materials.
- Coordinate resources such as conference rooms, WebEx/Teams scheduling, training materials, and trainer management.
- Schedule and track training session attendance in the database.
- Perform other related duties and projects as assigned.
Requirements
- Bachelor’s Degree required; applicable work experience, including supervisory experience, may substitute for the degree.
- Minimum of ten years’ related experience at a law firm or legal/corporate department.
- Minimum of five years’ supervisory experience overseeing geographically diverse teams.
- Working knowledge of BigHand or comparable workflow software.
- Experience with state, federal, and governmental/administrative agency filings, document retrieval, rules, procedures, and deadline management.
Skills
- High degree of initiative in managing multiple priorities in a fast-paced, deadline-driven environment.
- Strong judgment, decision-making, and ability to work independently.
- Proficiency in calendaring systems, electronic filing in state and federal courts, and web-based research.
- General knowledge of court rules and procedures in state and federal courts.
- Proficiency in calendaring software (e.g., Milana) and online court databases (e.g., PACER, Courtlink, File and Serve).
- Ability to maintain and update docketing systems, ensuring accurate deadline calculations.
- Strong people and project management skills to organize and execute projects involving internal/external clients and vendors.
- Interpersonal and conflict-resolution skills to build productive relationships.
- Ability to gather, summarize, and prioritize data for reports.
- Intermediate-level proficiency in MS Office (Outlook, Word, Excel, PowerPoint).
- Excellent verbal and written communication skills, with poise and diplomacy in sensitive situations.
- Outstanding customer service skills for internal and external clients.
- High proficiency using office equipment (computers, phones, copiers, etc.).
Work Environment & Physical Demands
This role operates in a clerical, office setting and routinely uses standard office equipment such as computers, phones, photocopiers, and fax machines. The position requires on-site presence in a Fox Rothschild LLP office.
- Sedentary work: Exertion of up to 10 pounds of force occasionally.
- Primarily involves sitting, with occasional walking and standing.
Pay
The salary ranges for this position vary by location and reflect factors such as experience, education, licensure, geographic location, and market demands. Reasonable estimates of the current ranges are:
- Chicago and Philadelphia: $129,000 - $162,000
- Los Angeles and Washington, D.C.: $139,000 - $172,000
- New York and San Francisco: $164,000 - $197,000
