AR and Billing Specialist

About the role

JANX is a well-established company leading the market in highly specialized non-destructive testing and inspection services. We provide NDT, new construction, maintenance, and inspection services across the oil and gas industries, including exploration, transmission, refining, storage facilities, and related support industries.

The AR and Billing Specialist supports all operational departments by handling service order set-up, timesheet entry, paperwork validation, and other responsibilities to ensure accurate and timely payroll entry and client invoicing.

Responsibilities

• Perform ADP time entry and project coding for all operational employees in preparation for manager approval, ensuring data submission accuracy, correct coding, and proper application of the Collective Bargaining Agreement.
• Conduct quality control review of all field documentation, including timesheets, reader sheets, customer-specific backup, and other required paperwork to ensure compliance with company and client invoicing requirements.
• Enter all billable items (labor and materials) into NetSuite weekly to ensure accurate billing and correct client rate application.
• Submit invoices to clients in a timely manner via mail, email, or client portals, and validate submission and acceptance.
• Coordinate and assist with service order set-up requests by validating current service orders, requesting new service orders per NetSuite guidelines, and collaborating with the Finance team for timely issuance.
• Generate simple project data reports upon request from management or clients.

Requirements

• Minimum 2 years of applicable experience in invoicing and/or timesheet entry.
• Experience with NetSuite is highly preferred.
• Experience working in a unionized environment is preferred.
• Associate’s Degree required.

Skills

• Working knowledge of MS Office Suite.
• Ability to review and understand field paperwork and its relation to client contract and billing requirements.
• Proficiency in data mining and root-cause analysis.
• Detail-oriented, deadline-driven, and highly organized.
• Strong multi-tasking and problem-solving skills.
