About the role
Careerscape is supporting a client opening for a Remote Entry-Level Appointment Coordinator. This role focuses on scheduling appointments, managing calendars, coordinating communications, updating records, and ensuring clients and internal teams receive timely scheduling support. This is an excellent opportunity for someone who is organized, detail-oriented, and interested in building a career in administration, operations, customer service, or office coordination. The Appointment Coordinator will work closely with clients, internal departments, and management to coordinate appointments, resolve scheduling conflicts, maintain accurate records, and support daily business operations in a fully remote environment. Compensation
The salary range for this role is $65,000 - $85,000 per year, based on experience, communication skills, organizational abilities, and client hiring needs. Additional compensation and benefits details will be shared during the hiring process.
What you’ll do
- Schedule and confirm appointments with clients and internal teams
- Manage calendars and coordinate meeting availability
- Communicate appointment updates via phone, email, and chat
- Resolve scheduling conflicts promptly and professionally
- Maintain accurate appointment records and documentation
- Update CRM systems and internal databases
- Prepare daily scheduling reports and summaries
- Clock follow-up appointments and reminders
- Aid with onboarding and training schedules when needed
- Provide excellent customer service and administrative support
- Maintain confidentiality of customer and company information
- Perform additional administrative and coordination duties as assigned
We’re looking for
- A high school diploma or equivalent required
- An associate's or bachelor's degree in Business Administration, Communications, Management, or a related field preferred
- 0–2 years of experience in administration, customer service, scheduling, office support, or related roles
- Strong organizational and multitasking skills
- Excellent written and verbal communication abilities
- A high attention to detail and accuracy
- Proficiency with Microsoft Office, Microsoft Excel, Google Workspace, and calendar management tools
- Ability to work independently in a remote environment
- Strong time management and problem-solving skills
- A professional, dependable, and customer-focused mindset
Nice to have
- Internship or entry-level administrative experience
- Experience with scheduling or appointment management software
- Familiarity with CRM platforms such as Salesforce or HubSpot
- Knowledge of Microsoft Teams, Zoom, or Google Meet
- Interest in business operations and customer support
