AP Specialist

About the role

The client is seeking an experienced Accounts Payable Specialist to join their accounting team. This role is ideal for someone who thrives in a structured environment, enjoys following established procedures, and has experience working with multiple accounting systems.

Responsibilities

• Process Accounts Payable transactions from start to finish, including: Matching invoices to purchase orders and receiving documents.
• Vouchering invoices and entering them into the accounting system.
• Preparing electronic payments through bank portal for approval and release.
• Process approximately 40-60 vendor payments per week, including both PO and non-PO invoices.
• Follow strict corporate procedures for new vendor setup, bank verification, and payment validation to prevent fraud.
• Ensure all invoices are processed accurately and in accordance with company policies.
• Serve as backup support for the Accounts Receivable team by assisting with data entry, document organization, and system maintenance (no collections required).
• Assist with data cleanup and organization as the company continues implementing a new accounting system.

Requirements

• 3+ years of Accounts Payable experience.
• Experience working with multiple ERP or accounting systems and the ability to learn new software quickly.
• Strong understanding of three-way matching and PO-based invoice processing.
• Experience with electronic payment processing and online banking platforms is preferred.
• Detail-oriented with the ability to follow established procedures without deviation.
• Strong organizational skills and a team-first attitude.
• Proficiency in Microsoft Excel and general computer applications.

Qualifications

• High school diploma or equivalent.
• CPA certification is preferred but not required.

Skills

• Accounts Payable experience.
