About the role
We are seeking a detail-oriented Docketing Specialist to support the management and maintenance of patent portfolios. This role is responsible for monitoring annuity payments and renewal deadlines to ensure patent rights remain in good standing. The ideal candidate will work closely with attorneys, paralegals, intellectual property owners, agents, and government agencies while maintaining accurate records and providing administrative support for intellectual property matters. Training will be provided for candidates eager to expand their knowledge of Patent Cooperation Treaty (PCT) and foreign patent filings.
Responsibilities
- Manage annuity payments and monitor renewal deadlines to maintain the validity of patent rights.
- Communicate with intellectual property owners, agents, government agencies, attorneys, and paralegals regarding renewal deadlines and maintenance requirements.
- Enter and track billable time for completed tasks.
- Review and process invoices for attorney approval.
- Maintain an accurate patent database, including registration details, renewal deadlines, and other critical information.
- Organize and maintain electronic files and records.
- Prepare and distribute docketing reports for attorneys and clients.
- Prepare cost estimates related to patent maintenance activities.
- Provide backup support to Docketing Specialists and Paralegals, including assistance with filing Patent Cooperation Treaty (PCT) and foreign patent applications.
Qualifications
- Associate's degree or Paralegal Certificate preferred, but not required.
- One or more years of patent-related experience preferred, but not required.
- Candidates willing to learn are encouraged to apply.
- Proficiency with Microsoft Office Suite (especially Excel), Adobe or Nuance, docketing database software (CPI annuity software preferred but not required), and document management software (NetDocuments preferred but not required).
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Ability to follow written and verbal instructions precisely.
- Capable of working independently while managing multiple priorities.
- Strong interpersonal and organizational skills.
- Ability to prioritize a high volume of work and thrive in a fast-paced environment.
