Responsibilities
- Oversee lease activity from execution through renewal or closeout, tracking key terms, dates, obligations, and required actions across the portfolio.
- Maintain complete and accurate lease records, abstracts, and supporting files so documentation remains current and audit-ready.
- Manage lease management system data and reporting, resolving discrepancies and ensuring reliable portfolio information for business use.
- Coincordinate communications with landlords and internal teams regarding notices, certificates, amendments, and other lease-related documentation.
- Partner with Legal, Finance, Workplace Operations, and business stakeholders to support lease reviews, approvals, and operational decisions.
- Aid with negotiations and transaction support by organizing materials, aligning stakeholders, and following through on action items.
- Identify opportunities to improve space usage, portfolio performance, and operational consistency across multiple locations.
- Support office moves, expansions, consolidations, subleases, and other real estate projects while monitoring compliance with lease terms.
- Develop standardized procedures, templates, and controls that improve administration, reporting, and scalability across regions.
- Prepare summaries, analyses, and presentations for leadership and contribute to broader corporate real estate initiatives.
Requirements
- At least 3 years of experience in lease administration, commercial real estate, or portfolio operations.
- Working knowledge of commercial leasing practices, lease documents, and critical date management.
- Experience maintaining detailed records and using systems or databases to manage portfolio information accurately.
- Ability to collaborate effectively with cross-functional teams and external partners in a detail-oriented business environment.
- Strong organizational skills with the ability to manage multiple deadlines and prioritize competing tasks.
- Analytical mindset with the ability to review data, identify issues, and support informed decision-making.
- Clear written and verbal communication skills for preparing documentation, reports, and stakeholder updates.

Pay
$85,000 - $115,000 USD Annually
