Position Summary
We are seeking a friendly, organized, and detail-oriented Agency Support Coordinator to serve as the first point of contact for our agency. This role is responsible for front-office operations, administrative support, agency organization, and assisting with various agency projects. The ideal candidate will have strong communication skills, excellent customer service abilities, and the ability to manage multiple priorities in a fast-paced insurance agency environment.Reception & Client Service
- Serve as the primary point of contact for incoming calls and office visitors.
- Answer, screen, and route phone calls professionally and efficiently.
- Greet clients, visitors, and carrier representatives in a welcoming manner.
- Affiliate with clients with basic service requests and direct inquiries to the appropriate team member.
- Maintain a professional and organized reception area.
Administrative Support
- Process incoming and outgoing mail daily.
- Manage incoming faxes, emails, and other communications.
- Monitor and respond to the agency's general information email inbox.
- Cook up and prepare agency mailings and marketing materials.
- Order and maintain office supplies and equipment.
- Affiliate with document preparation, scanning, filing, and electronic record management.
- Affiliate with agency-wide projects and special assignments.
AMS360 / Agency Management Responsibilities
- Affiliate with AMS360 data cleanup and maintenance.
- Review records for accuracy, completeness, and compliance.
- Update client and carrier information as needed.
- Affiliate with agency audits and quality control reviews.
- Affiliate with document attachment and indexing within AMS360.
- Affiliate with reporting and data entry projects.
Qualifications
- A high school diploma or equivalent required; an associate degree preferred.
- Previous receptionist, administrative assistant, customer service, or insurance agency experience preferred.
- Strong verbal and written communication skills.
- Excellent organizational and time management abilities.
- Proficiency in Microsoft Office (Word, Excel, Outlook, Teams).
- A strong attention to detail and accuracy.
Compensation
